The Ohio State University College of Dentistry seeks an Administrative Assistant to lead faculty training & support of dossier compilation, an important step in the promotion and tenure process. This role also supports the advancement of faculty affairs initiatives while serving within the Dean's office suite.
Reporting to the Faculty Affairs and Development Manager, the Administrative Assistant is responsible for:
- Independently prioritizing daily tasks and responsibilities that support faculty affairs within the College
- Autonomously maintaining a thorough understanding of the software for Faculty Activity Reporting
- Developing and leading faculty training on use of online software for Faculty Activity Reporting
- Anticipating and supporting faculty needs throughout the core dossier/CV creation process
- Initiating consultations for new hires or faculty who will be submitting first-time dossiers
- Implementing and maintaining online database for Faculty Activity Reporting for accreditation and review purposes
- Developing and implementing templates, timelines and tracking systems for faculty working on Reappointment, Promotion and Tenure
- Developing and implementing a variety of complex and confidential administrative duties related to capture, retention, and reporting of SSLE metrics, anticipating faculty's needs in response to the reporting requirements of the university
- Researching, collecting and summarizing data and information related to the Reappointment, Promotion and Tenure process to aid in decision making and strategic planning
- Organizing faculty meeting and voting procedures for faculty Reappointment, Promotion and Tenure
- Supporting faculty development activities for career progression
- Researching and identifying important changes to university policies related to Faculty Annual Reviews and Appointments and communicating those changes for decision-making purposes.
- Collaborating with course directors to review and identify needed syllabi corrections to ensure consistency with university policies and college operation procedures.
- Overseeing records and track submission and readiness of syllabi for release to students, staff and faculty.
- Analyzing and synthesizing faculty affairs data to support processes and streamline workflows.
- Serving as a first point of contact within the Dean's suite: greeting visitors and guests, providing assistance, and directing them to the appropriate person or department in a professional manner
- Performing general clerical duties, such as scheduling, filing, photocopying, sorting mail/packages, maintaining/ordering office supplies, and providing A/V support for the Dean's suite
- Other duties as assigned.
Work Hours: Monday - Friday, 7:30 am - 4:30 pm, on-site
Targeted pay range is $ $27.88 and will be based on education and experience.
Education and Experience Qualifications:
Required Qualifications:
2 years of experience in office setting.
Desired Qualifications:
Bachelor's degree, plus 4 – 6 years of experience.
The successful candidate must be able to work independently on complex tasks and duties; be comfortable communicating with all levels within the College; have advanced research skills and be familiar with seeking information from a variety of resources within and beyond the college to enter information into a database management system. They should be comfortable with acquiring and sharing knowledge of university policies and college requirements related to promotion and tenure and course syllabi.
The final candidate must successfully complete a background check and alcohol and drug screening prior to their start date.
