Overview
We are seeking a dedicated Administrative Office Assistant with CNA/PCA experience to support our healthcare facility's administrative and clinical operations. This role offers flexibility with optional field shifts, allowing for a dynamic work environment that combines office responsibilities with hands-on patient care. The ideal candidate will possess strong medical knowledge, excellent organizational skills, and a compassionate approach to patient service. Prior experience in various healthcare settings such as hospitals, nursing homes, assisted living, or home care is highly valued, especially those familiar with EMR/EHR systems like Epic, Cerner, or eClinicalWorks. This position is essential in ensuring smooth administrative workflows while supporting clinical teams in delivering high-quality patient care.
Responsibilities
- Manage medical documentation including patient records, vital signs, and medical histories with accuracy and confidentiality in compliance with HIPAA regulations.
- Assist in scheduling appointments, coordinating patient flow, and maintaining efficient office operations.
- Support clinical staff by preparing medical supplies and assisting with basic procedures such as catheter care or medication administration under supervision.
- Utilize EMR/EHR systems to update patient information, document treatments, and ensure data integrity across platforms like Epic or Cerner.
- Facilitate communication between patients, families, and healthcare providers to enhance patient service and satisfaction.
- Maintain a clean and organized office environment while adhering to infection control protocols including aseptic techniques when necessary.
- Support special care programs such as dementia care, Alzheimer's care, memory care, behavioral health, or pediatric services depending on departmental needs.
- Assist with patient transport using equipment like Hoyer lifts when applicable and support mobility needs for patients requiring assistance.
- Participate in training sessions on new procedures or systems to stay current with healthcare standards and compliance requirements.
Qualifications
- Proven experience working in healthcare environments such as hospitals (ICU, trauma centers), nursing homes (long-term care), assisted living facilities, or outpatient clinics.
- Strong knowledge of medical terminology, physiology, anatomy, and patient care procedures including vital signs measurement and basic life support certification.
- Familiarity with EMR/EHR systems such as Epic, Cerner, eClinicalWorks, or similar platforms.
- Experience working with diverse patient populations including pediatrics, geriatrics, behavioral health patients, or individuals with disabilities.
- Ability to handle sensitive information discreetly in accordance with HIPAA standards.
- Excellent organizational skills with attention to detail in documentation and record keeping.
- Compassionate approach to caregiving combined with strong communication skills for effective collaboration within multidisciplinary teams.
- Flexibility to work optional field shifts that may include evenings or weekends based on operational needs.
