Who We Are

United to Learn (U2L) is a Dallas-based education nonprofit with a stated mission of changing lives by transforming the relationship between schools and community. At United to Learn we address opportunity gaps with research-driven, district-aligned programming across 124 Dallas ISD elementary schools. Each initiative is rooted in one of our four pillars: strengthening school culture and well-being; creating aspirational learning environments; accelerating student achievement in literacy; and activating an informed community. The Role

The Executive Office Coordinator (EC) plays a key role in advancing our United to Learn's mission by providing high-level administrative and operational support to the Executive Office, including the Chief Executive Officer (CEO) and Deputy Chief of Staff (DCOS). This position is essential in ensuring efficiency through effective calendar and task management, project coordination, and the preparation of key materials. The EC also works closely with the DCOS on strategic initiatives, serving as a liaison across internal teams and with external stakeholders, including the Board of Directors and Advisory Council.

Reporting Structure

The EC reports to the CEO, while also working closely with and receiving direct guidance from the DCOS on select tasks and priorities.

Essential Competencies

Functional Excellence

  • Provide proactive, high-level support to the CEO by managing scheduling, reimbursements, anticipating needs, and ensuring alignment of daily priorities and engagements
  • Support administrative and project needs of the Executive Offi ce including, but not limited to, special projects, strategic initiatives, internal organization calendar, meeting preparation, background briefs, drafting attendee lists, compiling attendee biographies, and coordinating meeting materials
  • Support preparation and follow-up for executive-level engagements, including leadership meetings, investor check-ins, and retreats, by coordinating agendas, materials, presentations, and action items
  • Coordinate logistics and provide administrative support for Board and Advisory Council meetings, including membership fi les, scheduling, meeting materials, minutes, and post-meeting follow-up
  • Maintain and refi ne systems for calendars, documents, communications, and Salesforce records related to the Executive Office and governance
  • Support organization-wide events, including internal Employee Engagement events, by partnering on logistics, materials preparation, and on-site coordination that reflect U2L's joyful and professional brand

Sector Knowledge

  • Strong commitment to public education, student achievement, and the mission, vision, and values of U2L
  • Basic knowledge of Dallas public education sector, Dallas ISD goals, and priorities of U2L schools
  • Basic knowledge of non-profit sector and collaborative organizations

Project Management

  • Use U2L project management tools (e.g. Asana, Salesforce) to follow project plans, track tasks, and manage timelines
  • Ability to nimbly adjust priorities and manage multiple tasks while working collaboratively with internal and external stakeholders
  • Actively contribute to team meetings by preparing agendas, capturing action items, and ensuring follow-up

Communication

  • Draft, revise, and format meeting documents, presentations, and daily correspondence for the Executive Office
  • Manage the U2L main phone line with professionalism, ensuring inquiries are promptly addressed and redirected
  • Demonstrate excellent written and oral communication, actively listening and asking clarifying questions
  • Handle sensitive information with discretion

Relationship Management

  • Establish and maintain trusting relationships with defined key stakeholders, including Board of Directors, Advisory Council, Investors and internal U2L staff
  • Demonstrate effective interpersonal skills, with the ability to build belonging both internally and externally

People Development

  • Exemplify tone and culture of U2L, exhibiting professional, welcoming demeanor with all colleagues and volunteers
  • Provide clear instructions when explaining tasks/projects in relation to U2L mission and vision
  • Treat all with respect and provide timely and constructive feedback when needed

Technical Excellence

  • Ensure seamless execution of virtual and in-person meetings by overseeing technology setup, troubleshooting issues, and managing logistics
  • Advanced knowledge in setting up and running Zoom and Google Meet virtual meetings
  • Advanced knowledge in Google Suite and Microsoft Office, specifically PowerPoint, Word, and Excel
  • Basic knowledge of Project Management and Customer Relationship Management tools, such as Asana and Salesforce, with the eagerness to prioritize proficiency within 90 days
  • Ability to collect and synthesize data through surveys, Google Forms, and other methods

Ideal Candidate Qualifications

  • Holds a bachelor's degree, with at least 2 years of equivalent experience
  • Ability to learn and embrace new skills and best practices as the organization and position evolves
  • Excellent time management skills and ability to multitask and prioritize responsibilities
  • Mandatory valid driver's license and insurance, current background check and vaccine status required in compliance with Dallas ISD schools, and ability to lift up to 20 lbs
  • Ability and willingness to lead and attend programming events as needed; including mornings, evenings, and/ or weekends

Compensation and Benefits

As a full-time employee, the Executive Office Coordinator will receive:

ISD's administrative calendar during the academic school year
