Job Overview
We are seeking a detail-oriented and organized Office Assistant to join our team. This role is vital in ensuring smooth daily operations within our office environment. The ideal candidate will possess strong administrative skills, excellent communication abilities, and proficiency with various office management tools. The Office Assistant will handle a variety of clerical and customer service tasks, supporting both staff and clients to maintain an efficient and professional workplace.

Responsibilities

  • Manage filing systems accurately
  • Answer multiple email accounts and assist owner with booking meetings
  • Perform data entry in QuickBooks Online, filing, and document proofreading to ensure accuracy
  • Utilize Microsoft Office Suite and Google Workspace for document creation, editing, and organization
  • Pick up mail, delivery deposits and assist with paperwork delivery
  • Maintain office supplies inventory and coordinate procurement as needed
  • Support bookkeeping tasks using QuickBooks or similar software
  • Assist with producing AP and AR transactions in accounting software such as QuickBooks.
  • Provide administrative support such as typing correspondence, managing emails, and organizing files
  • Ensure office organization through effective filing systems and document management

Qualifications

  • Proven office management or administrative experience with strong organizational skills
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Experience with QuickBooks, data entry, and bookkeeping preferred
  • Excellent etiquette in conversations with clients and vendors
  • Strong computer literacy and familiarity with office equipment such as printers and scanners
  • Exceptional organizational skills with attention to detail and accuracy
  • Ability to manage time effectively in a fast-paced environment
  • Previous experience in bookkeeping and/or AE.
  • Personal assistant or clerical experience is beneficial but not required

Job Type: Part-time

Pay: $ $28.35 per hour
