Position Summary
The Administrative Assistant supports daily operations by managing communications, coordinating schedules, assisting departments and maintaining a professional office environment. This role ensures efficiency, promotes a positive workplace experience, and upholds safety and quality standards.

Position Responsibilities

  • Greets visitors and clients, assists with client inquiries, and resolves issues promptly while providing a warm and professional first impression.
  • Supports other departments with various tasks, arranging meetings, managing leader schedules, preparing presentations, ordering food/beverages, filing, preparing reports, and other documents.
  • Performs minor accounting functions such as Accounts Payable, Accounts Receivable and data entry and filing duties.
  • Supports training activities by aligning vendors, signing up employees and managing training space.
  • Provides production support with processing orders; entering production tickets and maintaining traceability documents in an organized manner.
  • Assists with tracking expenses and preparing related reports while maintaining accurate and up-to-date filing systems (both physical and digital).
  • Manages daily mail – incoming/outgoing.
  • Maintains a clean, organized, and efficient office environment, order office supplies, manages swag inventory, and coordinate office maintenance repairs as needed.
  • Meets all Good Manufacturing Practice (GMP) and Safe Quality Food (SQF) requirements; participate in food safety meetings as required.
  • Cultivates and promotes a strong safety culture and follow all safety policies, procedures and regulations; identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions; participate in safety meetings as required.

Qualifications

  • Associate's degree in related field (or combination of education and related experience).
  • Two (2) plus years of related office experience preferably in a manufacturing environment preferred
  • Knowledge of computers and ability to utilize various software packages is required
  • Exceptional communication abilities, capable of fostering strong internal and external relationships
  • Ability to work effectively both independently as well as in a team environment to attain personal, team and company goals
  • Well-organized and skilled in time management, prioritization, scheduling, and meeting deadlines
  • Ability to learn and adapt to changing priorities in a fast-paced environment.
  • Valid Iowa driver's license.

Work Expectations

  • This is a regular, full-time position with daily office hours onsite.
  • This job operates in a professional office environment with occasional exposure to a manufacturing environment.
  • Must be available to work daily and extended hours as necessary.
  • Involves sitting, standing, walking, bending, kneeling, stooping, crouching, crawling, and climbing
  • Must be able to lift/move up to 10 pounds regularly and up to 30 pounds occasionally
  • Vision requirements include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus
