Southern Elevator Consulting, LLC is a boutique elevator consulting and inspection firm based in Atlanta, GA, serving commercial, residential, healthcare, and institutional clients. We provide independent, unbiased expertise in vertical transportation, code compliance, safety audits, maintenance optimization, modernization planning, risk & liability reduction, installation oversight, and elevator inspections. Our mission is to help building owners operate safe, reliable, and predictable vertical transportation systems with minimal disruption.

Role Description

We are seeking a full-time, detail-oriented Administrative Assistant to work directly with the CEO of a growing elevator consulting and inspection firm. This role goes well beyond traditional administrative support—you will be deeply involved in the day-to-day operations of the business and play a key role in keeping the company organized, responsive, and scalable.

This is a fully remote, full-time position with some schedule flexibility. You'll gain exposure to multiple aspects of the business, including operations, client communication, financial administration, marketing support, project coordination, and executive-level support. This role is ideal for someone who is organized, proactive, and thrives in a fast-paced, professional services environment.

Key Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the CEO, including task prioritization and workflow management
  • Manage email inboxes, respond to routine inquiries, and ensure timely follow-ups
  • Answer and route phone calls professionally while delivering a high level of customer service
  • Coordinate meetings, prepare agendas, and attend meetings to take detailed notes as needed

Scheduling & Coordination

  • Manage calendars and schedule inspections, meetings, and client appointments
  • Coordinate travel arrangements as required
  • Support project and task management to keep timelines on track

Client, Data & Inspection Management

  • Support inspection management and related administrative tracking
  • Maintain and update client databases, contact lists, and internal records
  • Perform accurate data entry and document control

Financial & Business Administration

  • Assist with basic accounting functions, invoicing, and invoice follow-ups
  • Support insurance-related administration and coordination with insurance agents
  • Help prepare internal reports and operational summaries

File Organization & Documentation

  • Organize and maintain digital files and records within Microsoft Office 365
  • Prepare reports, presentations, and client-facing documents

Marketing & Operations Support

  • Assist with social media management, SEO basics, Google reviews, and online reputation management
  • Support sales, marketing, and business development efforts as assigned
  • Track operational metrics and administrative workflows to improve efficiency

Qualifications

  • Experience in administrative or executive administrative support roles
  • Strong phone etiquette and professional written and verbal communication skills
  • Excellent organizational skills with the ability to multitask and meet deadlines
  • High attention to detail and strong follow-through
  • Proficiency in Microsoft Office 365 (Outlook, Word, Excel, OneDrive, Teams)
  • Ability to work independently and handle confidential information
  • Experience in construction, engineering, facilities, or vertical transportation industries is a plus
  • High school diploma or equivalent required; associate's or bachelor's degree is a plus
