Client Care Coordinator

We're Hiring: A Afternoon Client Care Coordinator (Part-Time) Mostly Remote with some in person meetings in our Matawan NJ location.

We help individuals heal from trauma, anxiety, and depression through deep, body-based therapy approaches like Brainspotting, AEDP, IFS, and EMDR. We're a compassionate, mission-driven team that believes therapy should be accessible to everyone. We work with insurance and offer a safe, space where healing begins the moment someone reaches out.

The Role: Client Care Coordinator

We're looking for two warm, motivated Client Care Coordinators who can connect with potential clients and help them take the next step toward healing. This role is perfect for someone who understands both people and process—someone who can listen with empathy, explain what we offer with clarity, and confidently inspire clients to schedule their first session.

You'll be the welcoming voice that turns inquiries into clients. You'll balance compassion with confidence—helping people feel seen, heard, and supported while guiding them to commit to care.

What You'll Do

• Answer calls and emails with empathy, clarity, and professionalism.
• Understand and communicate the heart of our work—trauma-informed, holistic, somatic therapy.
• Educate clients on how therapy and insurance coverage work (with billing support).
• Schedule new client appointments within 24 hours and match them with the best therapist for their needs.
• Build trust and inspire clients to begin therapy through warmth, knowledge, and genuine connection.
• Follow up with prospective clients, helping them overcome hesitations and move forward.
• Track leads, conversions, and other key performance goals.
• Receive bonuses for helping clients successfully begin their care—rewarding your impact without pressure or sales gimmicks.
• Collaborate with our admin and marketing teams to improve the client experience.

What We're Looking For

• Deep empathy and emotional intelligence; you connect easily and authentically.
• Confidence in guiding conversations toward positive action (experience in client care or sales a plus).
• Strong communication skills—you can explain things simply and inspire trust.
• Organized, dependable, and detail-oriented.
• Comfortable using tools like CallRail, Google Workspace, and SimplePractice.
• Self-motivated and positive, with a growth mindset.

Schedule & Hours

This is a Part-Time, Mostly Remote position with occasional in-person meetings. Monday though Friday, no weekends go have brunch

Afternoon Coordinator:

• Monday–Thursday 1:30 PM–6:00 PM
• Friday 12:30 PM–2:30 PM

Training (first two weeks):

• Between 12:30 PM–2:00 PM

Compensation & Growth

• Starting Pay: $20/hour
