About Us:
We are a dynamic and growing construction company seeking a highly organized and detail-oriented
Office Administrator
to support the day-to-day operations of our office. This role is vital in ensuring smooth administrative workflows, supporting project teams, and maintaining accurate documentation and communication across departments.
Key Responsibilities
General Office Support:
- Answer and direct phone calls, emails, and other correspondence
- Maintain office supplies and manage inventory
- Organize and maintain both physical and digital filing systems
- Greet and assist visitors and vendors
Project Support:
- Assist project managers with document preparation, scheduling, and data entry
- Maintain accurate and updated project documentation, including contracts, RFIs, submittals, and change orders
- Coordinate with subcontractors and suppliers for schedules and required documents
Financial & Administrative Tasks:
- Support payroll processing and collect employee timecards
- Track invoices, purchase orders, and expense reports
- Assist with budget tracking and cost reporting
Compliance & Recordkeeping:
- Ensure all safety records, permits, and inspection reports are properly filed
- Keep subcontractor insurance certificates and licenses up to date
Qualifications
- Proven experience as an office administrator, assistant, or similar role (construction industry experience is strongly preferred)
- Proficient in Microsoft Office Suite (Word, Excel, Outlook)
- Familiarity with construction management software (e.g., Autodesk Build, Procore, PlanGrid) is a plus
- Strong organizational skills and attention to detail
- Excellent verbal and written communication abilities
- Ability to multitask and work independently in a fast-paced environment
Education & Experience
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred
- 2+ years of administrative experience, ideally in a construction or field-based setting
Working Conditions
- Primarily office-based, with occasional site visits
- Fast-paced environment with frequent deadlines
Schedule
- 8-hour shifts
- Flexible for Full-Time or Part-Time candidates
