About Us

Rainbow of Resilience is a community behavioral health organization in Whitehall, Ohio, providing online and in-person therapy and support services to individuals, children, couples, and families. We specialize in trauma-informed, culturally responsive care for anxiety, depression, trauma recovery, and LGBTQ+ affirming services. As we continue to grow, we are seeking an Office Manager to ensure smooth daily operations, coordinated administrative workflows, and a welcoming, efficient environment for staff and clients.

Position Summary

The Office Manager will oversee day-to-day office operations and administrative functions to support productivity, coordination, and organizational efficiency. This role includes supervising office staff, managing communications, handling facility and supply needs, tracking expenses, and ensuring compliance with agency policies. The Office Manager plays a key role in maintaining a professional, organized, and client-centered office environment.

Key Responsibilities

Administrative & Operational Support

  • Provide administrative support including scheduling, email communication, and general office coordination.
  • Maintain organized filing systems, records, and documentation.
  • Serve as the primary contact for office-related inquiries from employees, clients, and vendors.

Staff Coordination & Supervision

  • Oversee daily activities of office staff to ensure smooth workflows and productivity.
  • Assist with onboarding administrative personnel as needed.

Facilities & Vendor Management

  • Coordinate facility maintenance, repairs, and service requests.
  • Ensure office supplies are stocked and equipment is operational.

Event & Meeting Coordination

  • Assist Operations Manager with planning and organizing office events, staff meetings, and logistics for internal gatherings.

Compliance & Policy Support

  • Ensure adherence to organizational policies, confidentiality standards, and regulatory requirements.
  • Support leadership with process improvement and operational planning as needed.

Expected Hours of Work

  • Contract, Monday–Friday, 15-30 hours per week, 9:00 AM to 5:00 PM, flexibility.

Compensation

  • Starting at $15-$25 per hour, with opportunities for growth based on performance and experience.

Qualifications

  • Authorization to work in the U.S.
  • Ability to pass a background check.
  • Strong organizational skills and ability to manage multiple tasks efficiently.
  • Excellent verbal and written communication skills.
  • Detail-oriented, adaptable, and solution-focused.
  • Proficiency with computers, office software, and basic office equipment.
  • Experience in administrative or office management roles preferred.

Work Environment & Physical Requirements

  • Primarily desk-based work (computer use, phone use, faxing and handling documents).
  • Ability to lift up to 20 lbs of office supplies.
  • Frequent use of fine motor skills (typing, writing, filing).
  • Ability to read computer screens and printed materials clearly.
  • Clear hearing for phone calls and in-office communication.
  • Regular interactions with staff, clients, and vendors.
