Assistant(e) gestionnaire d'Installation – JLL

Ce que ce poste implique :  Le/La titulaire du poste assure la gestion au quotidien des activités du client à l'égard de la propriété/de l'installation. Le/La titulaire peut être appelé à gérer plusieurs lieux et doit être capable d'organiser les tâches multiples, d'établir l'ordre de priorité, et d'assurer une gestion efficace en situation de stress. Cette position exige une compréhension approfondie des relations avec la clientèle et la responsabilité générale concernant les budgets des lieux de travail, la comptabilité, l'entretien, les services contractuels, et l'administration.

À quoi ressemblera votre quotidien :

  • Créer et maintenir des pratiques de qualité supérieure concernant le service à la clientèle

  • Préparer et gérer les budgets annuels d'exploitation et d'immobilisations

  • Gérer un effectif composé de gens de métier et de professionnels divers

  • Coordonner les aspects opérationnels de la propriété de manière à protéger, maintenir et augmenter la valeur des actifs du client

  • Préparer des rapports mensuels et des prévisions sur la gestion des actifs dans toutes les propriétés

  • Mettre en place des programmes d'entretien/de réparation préventifs, permanents et anticipés

  • Gérer le travail des fournisseurs de services tiers, y compris les appels de soumissions et les mises à jour des assurances

Qualifications requises :

  • Baccalauréat avec au moins 5 années d'expérience, de préférence

  • Compétences supérieures en matière de gestion de personnes

  • Compétences supérieures en matière de gestion des relations avec les clients

  • Capacité de planifier et de gérer dans le respect du budget et des délais

  • Maîtrise du logiciel Excel; Word un atout

  • Maîtrise du français et de l'anglais*

  • Capacité à travailler sans supervision directe

Qualifications préférées :

  • Licence ou certification professionnelle souhaitable

  • Expérience de la gestion de multiples fournisseurs et petits projets d'immobilisation

  • Excellentes compétences en matière de communication et d'organisation

  • Compréhension des baux commerciaux, des méthodes comptables courantes et des protocoles des syndicats

  • Connaissance des exigences locales de santé et sécurité

*Interactions orales et/ou écrites avec des locataires ou partenaires externes basés à l'extérieur du Québec (par exemple, fournisseurs de services, cabinets d'avocats, pairs, banquiers, firmes de courtage, firmes d'analyse de crédit, agences de crédits, clientèle non-francophone, etc.)

Assistant Facilities Manager – JLL

What this job involves:  The position holder ensures daily management of client activities regarding property/facility operations. The holder may be required to manage multiple locations and must be capable of organizing multiple tasks, establishing priorities, and ensuring effective management under stress. This position requires a thorough understanding of client relationships and general responsibility for workplace budgets, accounting, maintenance, contractual services, and administration.

What your day-to-day will look like:

  • Develop and maintain superior quality customer service practices

  • Prepare and manage annual operating and capital budgets

  • Manage a workforce composed of tradespeople and various professionals

  • Coordinate operational aspects of property to protect, maintain and increase client asset value

  • Prepare monthly reports and forecasts on asset management across all properties

  • Implement preventive, ongoing and anticipated maintenance/repair programs

  • Manage third-party service provider work, including periodic bidding and insurance updates

Required Qualifications:

  • Bachelor's degree with at least 5 years of experience, preferred

  • Superior people management skills

  • Superior client relationship management skills

  • Ability to plan and manage within budget and timeline constraints

  • Proficiency in Excel software; Word an asset

  • Fluency in French and English*

  • Ability to work without direct supervision

Preferred Qualifications:

  • Professional license or certification desirable

  • Experience managing multiple vendors and small capital projects

  • Excellent communication and organizational skills

  • Understanding of commercial leases, common accounting methods and union protocols

  • Knowledge of local health and safety requirements

*Oral and/or written interactions with tenants or external partners based outside Quebec (for example, service providers, law firms, peers, bankers, brokerage firms, credit analysis firms, credit agencies, non-French-speaking clients, etc.)
