We are currently looking for a Project Coordinator at our Basalt/Aspen Valley showroom location.

The Project Coordinator plays a key role in supporting the successful execution of client projects from initiation through final delivery. This role requires exceptional organizational skills, attention to detail, and the ability to collaborate with internal teams, vendors, and clients. The Project Coordinator ensures project information is accurately documented, orders are processed efficiently, and client needs are met with professionalism and timeliness.

Responsibilities

Order Process & Project Management

• Manage project workflows to ensure timelines and milestones are met.
• Create and maintain Opportunities in NetSuite for each new project, including all relevant job details.
• Organize and manage project folders in OneDrive, linking them to Opportunities via CloudExtend.
• Document and update meeting notes; incorporate changes into Opportunities and Estimates as needed.
• Prepare and revise Estimates based on finish schedules, meeting notes, selections, pricing, and quantities.
• Verify and update shipping addresses, tax rates, and freight/handling charges as projects progress.
• Obtain and provide freight quotes (UPS, LTL, FTL) and record them in NetSuite.
• Gather and save lot photos for natural stone projects; record approved lot numbers in Sales Orders.
• Coordinate Sales Orders, including sending for signature via SnapSign, processing orders within 24 hours of
