Job Summary
We are seeking a professional and organized Receptionist/Administrative Assistant to join our team. This role is vital in ensuring smooth daily operations by managing front desk activities, providing exceptional customer service, and supporting office management functions. The ideal candidate will possess strong computer literacy, excellent communication skills, and the ability to multitask efficiently in a fast-paced environment.

Duties

  • Greet visitors and clients with professionalism and courtesy at the front desk
  • Manage multi-line phone systems, screen calls, and direct inquiries appropriately
  • Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools
  • Perform data entry, maintain accurate filing systems, and handle document proofreading
  • Assist with office management tasks including ordering supplies and maintaining office organization
  • Provide customer support via phone, email, and in person, ensuring excellent service standards
  • Handle billing and bookkeeping tasks using QuickBooks or similar software
  • Support personal assistant duties such as calendar management and correspondence handling
  • Maintain confidentiality of sensitive information and adhere to office policies

Requirements

  • Proven office experience with strong clerical skills and familiarity with office management procedures
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks and data entry accuracy
  • Excellent organizational skills with the ability to prioritize tasks effectively
  • Strong typing skills and attention to detail for proofreading documents
  • Exceptional customer service skills with professional phone etiquette and communication abilities
  • Bilingual abilities are a plus for serving diverse clients effectively
  • Previous experience as a medical or dental receptionist is advantageous but not required
  • Ability to handle multi-line phone systems efficiently and manage busy front desk operations
  • Demonstrated time management skills to meet deadlines in a dynamic environment
