Job Summary
We are a plumbing company, with an extremely high call volume of work requests, looking for an individual to answer the phone(s), collect information from clients regarding plumbing issues and input the description of work needed into the company's system and delegate the work to plumbers. Individual must be able to multi-task, handle pressure of high call volume, have a positive attitude and great customer service skills, respond and input work requests that come through email as well, draft estimates to send, and input invoices into QuickBooks to send to customers, and collect payments from customers. Knowledge of the plumbing industry is preferred, but not necessary. After 90 days, individual's work performace will be reviewed for possible pay increase, as well as being provided healthcare insurance.
Duties
- Providing exceptional customer service
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Schedule appointments and coordinate calendar management
- Support dispatching activities by coordinating service requests efficiently and communicating with field staff
- Proofread documents for accuracy and clarity before distribution
- Maintain a clean, organized reception area to ensure a welcoming environment
- Provide administrative support including typing, proofreading, and supporting customer support initiatives
Requirements
- Proven experience in clerical work, or as a receptionist/dispatcher role
- Strong computer literacy with proficiency in Word and Excel and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Ability to manage calls effectively and prioritize tasks efficiently
- Familiarity with QuickBooks
- Excellent organizational skills with attention to detail and accuracy in proofreading and data entry
- Strong customer service orientation with professional communication skills
- Ability to handle multiple responsibilities simultaneously while maintaining professionalism and composure
