Position Summary
The Referral Specialist is responsible for the coordination of specialty care referrals and follow-up services for patients receiving care at Medical Associates Plus (MAP). This role ensures that all referrals are processed accurately and timely, including obtaining prior authorizations, scheduling external appointments, and facilitating communication between patients, providers, and external healthcare entities. The Referral Coordinator contributes to integrated care coordination and supports MAP's mission to provide patient-centered, accessible, and quality healthcare.
Responsibilities and Duties
- Coordinate patient referrals to specialists, hospitals, or ancillary services as ordered by providers.
- Obtain required prior authorizations via phone, fax, or electronic portals in accordance with payer policies.
- Accurately enter referral information into the electronic health record (EHR), ensuring documentation is complete and up to date.
- Communicate scheduled appointment details to patients and confirm understanding of referral instructions.
- Follow up with referral sources to confirm appointments and receipt of medical documentation.
- Ensure referrals are processed in compliance with MAP's referral protocols and Patient-Centered Medical Home (PCMH) standards.
- Maintain knowledge of insurance guidelines and notify providers and management of changes in referral or authorization procedures.
- Promote clear and culturally sensitive communication with patients regarding their care coordination needs.
- Maintain strict confidentiality of patient health information in accordance with HIPAA regulations.
- Demonstrate professionalism in conduct and appearance and represent MAP in a positive and respectful manner.
- Attend relevant training sessions, insurance updates, and staff meetings as directed.
- Promote the principles of healthcare integration and the Patient-Centered Medical Home.
Qualifications:
Knowledge, skills and abilities
- Knowledge of managed care and insurance authorization processes.
- Familiarity with community health resources and services.
- Proficient in using electronic health records (eClinicalWorks preferred).
- Ability to work independently, prioritize tasks, and manage time effectively.
- Strong verbal and written communication skills.
- Excellent interpersonal skills with the ability to remain calm and courteous under pressure.
- Ability to work collaboratively in a team environment and adapt to organizational needs.
- Commitment to quality care, cultural competence, and health equity.
- Strong attention to detail and ability to manage confidential information appropriately.
Education & Experience
- Associate degree in a health-related field required; bachelor's degree preferred.
- Relevant work experience may be substituted for formal education.
- Minimum of 2 years' experience in a medical office setting with exposure to referral coordination, insurance verification, or patient scheduling.
- Prior experience working in a Federally Qualified Health Center (FQHC) or primary care setting is preferred.
Working Conditions
- Ability to sit or stand for extended periods of time.
- Ability to lift up to 30 pounds occasionally (e.g., files or office supplies).
- Manual dexterity to operate standard office equipment and computer systems.
- Visual and auditory acuity sufficient to interact with patients, staff, and external providers.
- Ability to cope with interruptions and maintain focus in a busy environment.
- Flexibility to adapt to changing job duties and schedules as needed.

Medical Associates Plus (MAP) is a community-based healthcare organization with deep roots in Augusta and the surrounding region. Our story began in 1993 when University Hospital, the Richmond County Health Department, and the Richmond County Commission partnered to address gaps in care for underserved populations. Following a community needs assessment that identified significant health disparities in the 30906-zip code, the Neighborhood Improvement Project, Inc. was established in 1998 to expand access to essential healthcare services.
Originally operating as Belle Terrace Health & Wellness Centers, MAP welcomed its first patient in 1999. Since then, the organization has grown significantly. Renamed Medical Associates Plus in 2016, MAP expanded to include multiple clinic locations and a mobile health unit.
Today, MAP serves more than 50,000 patients annually across over twenty locations, delivering high-quality primary care to individuals and families throughout Greater Augusta and surrounding communities.
