Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to join our team. The successful candidate will be responsible for managing interactions with clients seeking mental health therapy and assisting in day to day operations of a small counseling office. This is an ideal opportunity for an individual who is passionate about administrative work and wants to develop their skills in a dynamic environment.
Duties:
- Oversee the office and ensure all administrative tasks are completed in a timely and efficient manner
- Manage phone calls, referrals for new clients, assist the billing manager and assist clients with check-in
- Provide exceptional customer service, responding to phone calls, emails, and in-person inquiries
- Working with owner to assist with develop and implement of office policies, procedures, and training programs
- Maintain the organization's calendar, ensuring all events and deadlines are recorded accurately
- Manage and maintain office equipment and supplies, ordering as needed
- Maintain a clean and organized office environment
- Assist with data entry and record-keeping as necessary
- Provide phone etiquette training to staff
- Ensure compliance with organizational policies and procedures
- Perform other administrative tasks as required
Experience:
- At least 1 year of experience in an office management role preferred
- Familiarity with mental health jargon and clinical needs
- Strong organizational and communication skills
- Ability to work independently and as part of a team
- Experience in training development and office equipment maintenance is an asset
- Familiarity with clerical duties and a passion for administrative work
Skills:
- Proficiency in office software and computer systems
- Excellent communication and organizational skills
- Experience in scheduling and calendar management
- Strong phone etiquette skills
- Ability to work in an in person environment
- Strong attention to detail and organizational abilities
- Experience in training development and office equipment maintenance is an asset
- Ability to work independently and as part of a team
- Experience in clerical duties is preferred
- Experience in office management and administration is essential

Job Type: Part-time
Pay: From $12.00 per hour
