Location: Primarily based in Toronto, must be available to travel

Reports To: COO, Academy of Learning Career College and Co-Founder, OEG
Employment Type: Full-Time
Schedule: Monday to Friday, 9am – 5pm, evenings and weekends as needed
Salary Range: $55,000 - $65,000/yr

Position Overview

The Senior Executive Operations Coordinator provides senior-level administrative, operational, and coordination support to the Chief Operating Officer (COO) and Co-Founder. This role is critical to the effective functioning of the Executive Office and supports institutional operations in alignment with Ontario Ministry of Colleges and Universities (MCU) requirements and Private Career College (PCC) standards.

The position requires strong knowledge of post-secondary operations, ministry compliance, and admissions processes, along with the ability to manage multiple priorities, exercise sound judgment, and maintain a high degree of confidentiality. The incumbent will support executive initiatives, cross-departmental coordination, and compliance-related activities while gaining exposure to institutional planning and leadership operations.

Key Responsibilities

Executive & Operational Support

  • Provide senior-level administrative and operational support to the COO and Co-Founder, including calendar management, meeting coordination, agenda preparation, and follow-up on action items.
  • Prepare and draft correspondence, reports, presentations, and briefing materials for executive, leadership, and board-related meetings.
  • Act as a liaison between the Executive Office and internal departments, regulators, and external stakeholders, ensuring professionalism and discretion at all times.
  • Track executive priorities, institutional projects, and deliverables, supporting timelines and coordination across departments.

Ministry Compliance & PCC Support

  • Support institutional compliance with Ontario Ministry of Colleges and Universities (MCU) regulations and Private Career College (PCC) policies.
  • Assist with data collection, documentation, record maintenance, and reporting required for audits, inspections, renewals, and reviews.
  • Coordinate with department leads to ensure policies, procedures, and operational practices align with regulatory standards.
  • Support continuous improvement initiatives related to compliance, quality assurance, and institutional effectiveness.

Admissions & Student Services Coordination

  • Support admissions and student services operations to ensure accuracy, consistency, and adherence to institutional and ministry policies.
  • Assist with maintaining accurate student records, documentation, and reporting requirements.
  • Provide administrative coordination related to enrolment processes, audits, and compliance reviews.

Cross-Departmental Coordination

  • Facilitate communication and coordination between departments on executive-led initiatives and institutional priorities.
  • Support the preparation of institutional updates, operational summaries, and executive communications.
  • Assist in monitoring progress on strategic and operational initiatives and flagging risks or issues as needed.

Leadership Development (Training Toward Chief of Staff)

  • Participate in executive meetings, contributing to strategic discussions and action planning.
  • Gain exposure to policy development, business operations, and performance measurement processes.
  • Support executive workflows and processes while developing a broader understanding of organizational operations and governance.
  • Learn to identify organizational priorities and streamline communication between departments.
  • Shadow the COO in high-level planning and leadership functions, developing readiness to transition into a Chief of Staff role.

Qualifications

  • High strategic acumen and proven executive support skills.
  • Minimum years of experience in a Private Career College or post-secondary education setting.
  • Strong understanding of ministry compliance, admissions, and academic operations.
  • Exceptional organizational, time management, and communication skills.
  • Proven ability to manage multiple priorities with attention to detail and discretion.
  • Proficiency with MS Office Suite, virtual meeting platforms, and CRM systems (Dayforce or similar systems an asset).
  • Post-secondary education in Business Administration, Education, or a related field preferred.
