About us:
The Office of the Vice-Provost, Academic Programs (VPAP) supports the activity of the University of Toronto in academic policy; for-credit academic programming; academic change, including production of the graduate calendar; initiatives relating to academic programming; and the cyclical review of academic programs and units.
Your Opportunity
Reporting to the Director, Academic Programs, Planning and Quality Assurance, the Quality Assurance, Project Assistant provides comprehensive administrative and project coordination support to the Office of the Vice-Provost, Academic Programs. The incumbent supports quality assurance and planning initiatives by coordinating projectactivities, tracking and collecting information on project progress, scheduling meetings and appointments, preparing and maintaining records, and ensuring the accuracy and completeness of documentation. The Project Assistant liaises with internal stakeholders, supports governance- and audit-related processes, manages confidential information, and contributes to the effective execution of strategic projects through meticulous organization, follow-up, and attention to detail.
Your Responsibilities Will Include
- Responding to enquiries within the defined scope of the role and redirecting as appropriate
- Booking rooms and arranging appropriate accommodations
- Verifying the accuracy and completeness of documents
- Writing routine documents and correspondence
- Maintaining information on digital platforms

Essential Qualifications
- College Diploma (2 years) or acceptable combination of equivalent experience.
- Minimum two years experience in an administrative or project support position
- Experience in preparing, organizing, and maintainingfiles to ensure accuracy and completeness.
- Experience in identifying, tagging and uploading relevant documentation to SharePoint
- Experience coordinating logistics and scheduling of site visits, including room bookings, catering, IT support, and meeting preparation.
- Strong knowledge of MS Office Suite (Excel, Word, PowerPoint), Outlook, MS Teams, Zoom, and SharePoint.
- Strong attention to detail and meticulousness are vital for ensuring strict adherence to standards and regulatory requirements
- Ability to prioritize tasks, multitask, and manage calendars/meetings effectively
- Professionalism, customer service, and ability to work with diverse people.
