Job Overview
We are seeking a professional and organized Front Desk Receptionist to join our team. This role is vital in creating a welcoming environment for clients and visitors while efficiently managing administrative tasks. The ideal candidate will possess excellent communication skills, strong organizational abilities, and proficiency with office management tools. Experience with multi-line phone systems, Microsoft Office, and customer service is essential. Bilingual skills are a plus, enabling effective communication with diverse clientele. Responsibilities
- Greet clients, visitors, and staff in a courteous and professional manner
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Schedule appointments and manage calendar bookings using Google Workspace or similar tools
- Perform data entry, filing, and maintain organized records for easy retrieval
- Handle incoming and outgoing correspondence via email and postal mail
- Assist with office management tasks such as supply inventory and equipment maintenance
- Provide customer support by addressing inquiries promptly and professionally
- Proofread documents for accuracy before distribution
- Support bookkeeping activities using QuickBooks or similar accounting software
- Maintain a clean and welcoming reception area to uphold professional standards
Qualifications
- Proven experience in office management, clerical work, or administrative support
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Excellent phone etiquette and customer service skills
- Ability to multitask effectively in a fast-paced environment
- Organizational skills with attention to detail and accuracy in data entry and proofreading
- Experience with office equipment such as multi-line phones, printers, and scanners
- Bilingual abilities are preferred to assist diverse client populations
- Prior experience as a medical receptionist, dental receptionist, or personal assistant is advantageous
- Knowledge of bookkeeping software like QuickBooks is a plus
- High school diploma or equivalent; additional administrative or office management training is desirable
