The office coordinator supports daily administrative and operational functions of the manufacturing facility. This position ensures smooth office operations by managing communications, coordinating schedules, maintaining records, and providing support to cross functional teams.
Bilingual office Coordinator Duties and Responsibilities:
Front Office Duties Include:
· Greet and welcome visitors with a smile, making them feel at home.
· Answer and direct phone calls in a friendly and professional manner.
· Manage incoming and outgoing mail and packages.
· Keep the reception area tidy and inviting.
Administrative Support Includes:
· Assist the General Manager with scheduling, emails, and other administrative tasks.
· Prepare and organize documents, reports, and presentations.
· Coordinate meetings and events, ensuring everything runs smoothly.
· Handle confidential information with discretion.
Bilingual Communication:
· Provide excellent customer service in both English and Spanish.
· Translate documents and communications as needed.
· Assist Spanish-speaking clients and team members with their inquiries.
Additional Responsibilities:
· Responsible for ordering office supplies and ensuring that office supply cabinets are stocked.
· Other duties as assigned.
Preferred Qualifications:
· Front desk experience
· Relevant experience with high pace setting
· Industry Experience in manufacturing environment
· Customer service skills
· Diplomacy and tact
· Confidentiality is critical in this role
Qualifications:
· Bilingual (Spanish/English) required.
· Associates degree preferred
· High School diploma required
· One to three years of relevant work experience
· Proficient in Microsoft office suite
· Experience in fast paced work environment with multiple tasks and projects
· Appreciate a variety of tasks that draw on skills in relationship, communication, technology, fact and figures
Working Conditions
· The physical environment requires the employee to work in an office environment and may be exposed to cold conditions and manufacturing environment for limited times that require PPE. You may be requested to work overtime and weekends on special projects.
· This is a sedentary position with occasional walking, crouching, bending, twisting, and climbing stairs.
