Position Overview

The Marketing Coordinator is one of the high-energy, relationship-driven faces of our brand. This role leads community outreach, event marketing, and sponsorship execution while supporting digital marketing and social media initiatives that drive awareness, engagement, and new patient growth.

You'll partner closely with Marketing, Business Development, Clinical Leadership, and external vendors to ensure every event is "event-ready," on-brand, and measurable.

What You'll Do (Key Responsibilities)
Community Outreach & Event Marketing
  • Own and manage the community outreach calendar, including events, workshops, sponsorships, school programs, and local partnerships.
  • Identify, secure, and execute new community marketing opportunities across NJ (sports organizations, municipalities, schools, community groups).
  • Coordinate and execute community sponsorships, ensuring booth/table setup, staffing, signage, and collateral are aligned and polished.
  • Lead Teacher Wellness Days end-to-end: scheduling, provider coordination, catering, logistics, onsite execution, and follow-up.
  • Maintain strong communication with internal teams and clinical directors to confirm staffing coverage and event expectations.
  • Support special initiatives including fundraisers, conferences, and brand activations.
Brand Execution & "Event-Ready" Standards
  • Maintain an organized inventory of promotional products, giveaways, signage, and print collateral.
  • Ensure materials are always prepared and restocked to meet the event-ready standard.
  • Coordinate event assembly, packing, transportation, and setup requirements for outreach events.
Project & Vendor Coordination
  • Work cross-functionally with graphic design, business development, and internal stakeholders to keep projects moving—timelines, deliverables, follow-ups, and due dates.
  • Maintain strong relationships with multiple outsourced vendors and manage ordering, deadlines, and quality control.
  • Participate in outbound/community activations to represent the organization and maximize brand education.
Reporting, Leads & Performance Tracking
  • Deliver post-event summaries and analytics, including leads captured, follow-up status, and outcome insights.
  • Provide marketing-related data, trends, and forecasts to support leadership and administrative planning.
  • Report directly to the Director of Marketing on outreach performance and upcoming opportunities.
What We're Looking For (Qualifications)
  • Bachelor's degree in Marketing, Communications, Business, or related field (or equivalent experience).
  • Strong working knowledge of Microsoft Office Suite (Excel, PowerPoint, Word).
  • Excellent written and verbal communication; confident presenting in community settings.
  • Organized, detail-oriented, and able to manage multiple deadlines and moving parts.
  • Friendly, enthusiastic, and professional—strong "people person" energy.
  • Strong understanding of social media platforms and marketing channels.
  • Ability to transport event supplies/equipment and support event setup.
  • Valid driver's license and willingness to drive a personal vehicle for work purposes.
Preferred Qualifications (Nice to Have)
  • Experience in healthcare marketing, event marketing, community outreach, or brand activations.
  • Comfortable tracking outreach ROI, lead sources, and basic performance reporting.
  • Experience coordinating vendors (print, promo, signage, digital partners).
