Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, managing front desk operations with efficiency and professionalism. This role requires excellent communication skills, strong organizational abilities, and proficiency with office management tools. Bilingual skills are a plus to assist diverse client needs. The Receptionist will support office functions, ensure smooth daily operations, and provide exceptional customer service in a fast-paced environment.

Duties

  • Greet visitors and clients warmly, ensuring a positive first impression
  • Manage multi-line phone systems, directing calls appropriately and taking detailed messages
  • Schedule appointments and manage calendar for staff using Microsoft Office and Google Workspace tools
  • Handle data entry, filing, and document proofreading to maintain accurate records
  • Utilize QuickBooks for basic bookkeeping tasks and invoicing as needed
  • Support office management tasks including supply ordering and inventory tracking
  • Assist with administrative support such as typing correspondence, managing emails, and supporting customer inquiries
  • Maintain a clean and organized front desk area to promote a professional environment
  • Provide customer support via phone, email, or in person with excellent phone etiquette and professionalism
  • Perform clerical duties including photocopying, scanning, and document organization

Skills

  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Strong computer literacy with experience in data entry, filing, and document proofreading
  • Excellent organizational skills with the ability to multitask effectively in a busy office setting
  • Effective time management skills to prioritize tasks efficiently
  • Experience with office management software such as QuickBooks is preferred
  • Exceptional customer service skills with professional phone etiquette
  • Bilingual abilities are advantageous for communicating with diverse clients
  • Previous office or administrative experience is highly desirable, including roles such as medical or dental receptionist or personal assistant
  • Knowledge of clerical procedures including calendar management, bookkeeping, and record keeping is beneficial

Pay: From $15.00 per hour
