Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong office management skills, excellent communication abilities, and proficiency with various office software. This role offers an opportunity to support daily operations, manage administrative tasks, and provide exceptional customer service in a professional environment. Prior experience with office management, clerical duties, and customer support is highly valued. Bilingual skills are a plus to effectively serve diverse clients and team members.

Responsibilities

  • Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite and Google Workspace for report creation, correspondence, and scheduling
  • Coordinate calendar management and appointment scheduling for staff or executives
  • Handle customer service inquiries via phone, email, or in person, providing support and information as needed
  • Assist with bookkeeping tasks using QuickBooks or similar accounting software
  • Support office management tasks such as supply ordering, maintaining office equipment, and organizing files
  • Maintain excellent phone etiquette while managing multi-line phone systems efficiently
  • Provide administrative support for various departments or projects as required

Qualifications

  • Proven office experience with strong clerical skills and organizational abilities
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
  • Experience with QuickBooks or similar bookkeeping software is preferred
  • Excellent typing speed and data entry skills with high accuracy
  • Strong communication skills, including professional phone etiquette; bilingual abilities are a plus
  • Ability to manage multiple tasks efficiently with effective time management skills
  • Previous experience in customer service or as a receptionist (medical or dental reception experience is advantageous)
  • Familiarity with office management procedures and administrative best practices
  • Demonstrated attention to detail with proofreading and document review capabilities

Pay: From $20.00 per hour

Expected hours: 15.0 – 23.0 per week
