Position Summary

The Administrative Assistant supports several of the company's central office staff including but not limited to the Senior EA, EA, and HR Managers with a variety of recurring and non-recurring tasks. Acknowledge requests for assistance, clarify expectations with respect to deliverables and deadlines, and keep the requesting party apprised of the status.

Key Duties and Responsibilities

The key duties and responsibilities of the Administrative Assistant include, but are not limited to:

  • Screening incoming calls and emails in Reception Inbox and Proliance Inbox
  • Maintain kitchen and bathrooms, ordering supplies, coordinating with building for maintenance etc.
  • Assist in scheduling and supporting meetings, including reserving space on & offsite, arranging catering
  • Prepare expense reports
  • Make travel arrangements
  • Maintain CSO Shared & Reserved Parking information
  • Maintain CSO vendor info pertaining to kitchen, building, and supply room and communicate with the vendor as needed
  • Assist HR with employee relations communications to care centers and CSO
  • Assist EA's with logistics on projects
  • Process and approve badge requests daily **
  • Coordinating parking and new hire orientation for CSO
  • Routing of all mail, faxes, and packages delivered to CSO
  • Assisting with facility management and communication **
  • Assist in the coordination of team events, social activities, and employee recognition
  • Fulfill other duties as assigned

Education/Experience

  • Bachelor's or associate degree preferred
  • 3+ years of Administrative Assistant experience, ideally in a professional services environment
    • Executive level support preferred
  • Prior healthcare experience a plus
