At Seattle Public Utilities, we're looking for a highly skilled Administrative Staff Analyst to provide high performing administrative support to the division leadership team and service to our customers, ensuring quality and effective availability to support the division's business needs. This position will report to the Drainage & Wastewater System Maintenance Division Director.

Job Responsibilities

  • Provide advanced administrative support to the division leadership including inbox management, reviewing, calendaring, and/or drafting a variety of confidential and sensitive matters including communications and HR matters.
  • Coordinate the preparation of the division's budget including but not limited to preparing expense reports, tracking budgets, purchase orders, and processing invoices for vendors as required.
  • Monitor and oversee division's contracts and to ensure in compliance with departmental and City policies and procedures.
  • Prepare and edit documents, matrices, and specialized reports via MS Word, Excel, PowerPoint, Visio software as needed.
  • Draft and track written correspondence to internal and external audiences.
  • Provide assessments and analysis for special projects and reports assigned.
  • Schedule meetings and track sensitive and confidential deliverables to support the Division.
  • Collect, research, and analyze division data on team activities and provide reports to the Division Director and other staff as needed.
  • Receive and identify the subject matter of inquiries, refer to appropriate staff and follow-up to ensure responses are provided in a timely manner.

Qualifications
Experience:
Two years of administrative experience and a Bachelor's degree in business or public administration or related field.

Experience and Education Equivalency:
A combination of education and/or training and/or experience that provides an equivalent background required to perform the work of the class will be considered.

License:
Current Washington State driver's license

Work Environment:
Work is performed in an office environment

You will be most successful in this role if you possess one or more of the following:

  • Research, data management, project management and analysis experience.
  • Experience as a direct report to a Division Director or higher classification preferred.
  • Strong oral and written communication skills including proofreading, editing, and producing documents for internal and external distribution. Ability to work and communicate effectively in large group settings.
  • Experience working independently, using good judgment with attention to detail, and working within time frames.
  • Exemplary organizational, planning, and coordination skills, with a proven ability to respond quickly to changing priorities.
  • Previous experience working with budgeting and tracking budgets is strongly preferred.
  • Demonstrated ability to work well under pressure, multi-task, and handle sensitive information with a high degree of confidentiality.
  • Advanced proficiency in working with Windows-based software including the internet, SharePoint, and Microsoft Office (Outlook, Word, Excel, PowerPoint and Visio).
  • Excellent customer service skills with the ability to work with challenging individuals at times.

The full salary range for this position is $ $53.27 per hour.
