The Executive Assistant to the CEO provides high-level administrative, operational, and strategic support to the Chief Executive Officer of our tax and accounting firm. This role requires exceptional discretion, organizational skill, and the ability to manage confidential financial, legal, and client-related information while serving as a trusted extension of the CEO.

Key ResponsibilitiesExecutive & Administrative Support
- Manage the CEO's calendar, scheduling meetings, deadlines, and tax-season priorities
- Serve as the primary gatekeeper for communications, screening calls, emails, and requests
- Prepare correspondence, reports, presentations, and internal documents
- Coordinate travel, meetings, and executive-level engagements
- Track deadlines related to tax filings, compliance, and firm operations
Firm Operations & Tax Support
- Assist with client intake coordination and workflow tracking during tax season
- Organize and maintain confidential client files and internal records
- Coordinate with tax preparers, accountants, and administrative staff
- Support billing, invoicing, and document follow-ups as directed
- Assist with IRS notices, extensions, and internal compliance tracking (non-preparer role)
Confidentiality & Compliance
- Handle sensitive financial, tax, payroll, and business information with strict confidentiality
- Ensure secure handling of documents in compliance with IRS data protection standards
- Assist with maintaining internal compliance protocols and office procedures
Project & Strategic Support
- Support firm initiatives, process improvements, and special projects
- Monitor deadlines and follow up on action items across departments
- Prepare summaries and briefing materials for CEO decision-making
Qualifications
- Proven experience as an Executive Assistant, Administrative Manager, or similar role
- Strong organizational and time-management skills in a fast-paced environment
- High level of professionalism and discretion
- Excellent written and verbal communication skills
- Proficiency in Microsoft Office, Google Workspace, and scheduling tools
- Ability to multitask, prioritize, and anticipate executive needs

Pay: $ $25.50 per hour
Expected hours: 40.0 per week
