SUMMARY:

Under the supervision of the Office Manager, the Front Desk Admin/ Receptionist assists and provides the support and service operations of the department and manages the administrative tasks. This position is responsible for general office duties associated with managing the reception area for the office, which include answering phone calls and greeting visitors. Provides general office and secretarial/clerical functions and technical assistance.

RESPONSIBILITIES:

  • Under general supervision, performs varied duties and assignments involving some judgment in support of managers, tech sectors, client communities, or other departments.
  • Day-to-day office administration duties (photocopies, binding, mailing/shipping, supplies etc.)
  • Answering and directing phone calls to appropriate staff, attending guests and organizing conference rooms.
  • Order and maintains office supplies and equipment.
  • Distribute daily mail and packages. Help staff member with mailing packages and postage.
  • Booking travel arrangements for employees and manage fleet vehicles.
  • As needed basis, works with the project team and supports them with a variety of administrative support tasks.
  • Operates computerized word processing systems proficiently.
  • Maintain vendor list, negotiate contracts and schedule services.
  • Keep track of business certifications and renew them as needed basis.
  • Assists in scheduling and confirming meetings for assigned personnel.
  • Setting up lunches, managing break room and general tidiness in conference rooms.
  • Provide office support tasks such as event planning, ordering supplies, housekeeping tasks and managing guest lists.
  • Demonstrates the ability to learn new tasks and develop personally and professionally.
  • Has the ability to manage and prioritize multiple assignments.
  • Demonstrates continued and progressive knowledge of administrative tasks required for an engineering consultant firm.
  • Comply with all applicable safety guidelines and standards.
  • Timesheets- Complete personal timesheets in a timely manner with accurate and complete accounting for all activities.
  • Clerical duties to include scanning, filing, documentation, and data entry.
  • Answer phone inquiries and provide information to clients as requested.
  • Treat co-workers and clients with respect and courtesy including good interpersonal skills.
  • Able to exhibit high level of confidentiality.
  • Maintain professional appearance and demeanor.
  • Good interpersonal skills and effective communication.
  • Performs other duties as assigned.

SALARY: $18.00-$22.00 (Hourly)

JOB REQUIREMENTS:

  • High school diploma or GED required.
  • Associates or bachelor's degree in management or science is preferred.
  • Minimum of 4 years' related experience or the equivalent thereof.
  • Preferred prior experience with an engineering and/or architecture firm.
  • Must be proficient in MS Office and multi phone line system.
  • Must have a valid driver's license and acceptable driving record.
  • Must be able to pass drug and alcohol test.

  • While performing the duties of this job, the employee may work outside in all weather conditions.
  • The employee may work near heavy equipment and is occasionally exposed to vapors, fumes, or airborne particles. General PPE requirements for field work should be anticipated to be OSHA HAZWOPER level D, with occasional elevation to level C. In these exposure situations, the ability to wear and perform work duties in a passive respirator is required.
  • The noise level in the office work environment is usually moderate. The noise level on field sites is often loud; the use of hearing protection may be required for extended periods.
