Job Overview
We are seeking a dynamic and highly organized Office Administrator to join our non medical Home Health Care team and ensure the smooth operation of our office environment. This role is vital in coordinating daily administrative functions, managing communication channels, overseeing vendor relationships, and supporting team members across various departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating efficient workflows that foster a productive workplace. As an Office Administrator, you will be the backbone of our office operations, driving excellence in administrative support and team collaboration.
Duties
- Manage daily office operations, including front desk responsibilities, multi-line phone systems, and greeting visitors with professionalism and warmth
- Oversee schedule management for executives and team members, ensuring appointments, meetings, and deadlines are coordinated effectively
- Coordinate event planning activities for company meetings, training sessions, and special events to promote team engagement and organizational growth
- Supervise administrative staff and provide training & development opportunities to enhance team performance
- Support human resources functions such as onboarding new employees, maintaining personnel records, and assisting with payroll processing
- Manage office supplies inventory, filing systems, and bookkeeping tasks to ensure operational efficiency
- Assist with medical office management tasks if applicable, including appointment scheduling and patient record organization
- Maintain confidentiality of sensitive information while ensuring compliance with company policies and procedures

Skills
- Proven experience in office management or administrative roles with strong clerical skills
- Excellent communication skills—both verbal and written—with professional phone etiquette
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Experience with schedule management tools and multi-line phone systems for effective communication flow
- Knowledge of vendor management processes and negotiation strategies
- Familiarity with QuickBooks or similar accounting software for bookkeeping and invoicing purposes
- Background in human resources functions such as payroll processing, employee onboarding, and training & development
- Ability to handle budgeting tasks accurately while maintaining attention to detail
- Experience managing medical or healthcare office environments is a plus but not required
- Demonstrated supervisory experience leading teams or managing projects successfully
- Proficiency in filing systems—both digital and physical—and general office procedures
