Role Description
We are seeking a
full-time, on-site Office Administrator
to join our team in
Tottenham, Ontario
. This position is
Monday to Friday, 9:00 a.m. to 5:00 p.m.
, and requires in-office attendance.
The Office Administrator plays a key role in supporting daily operations and ensuring a smooth, professional experience for both clients and team members. This role involves a mix of administrative support and client-facing responsibilities, including managing phone and email communications as well as assisting clients during in-office visits.
Job Responsibilities
- Serve as a primary point of contact for clients by answering incoming phone calls and responding to emails in a timely manner
- Support brokers and the internal team by preparing renewal packages, insurance documentation, cheques, etc. for mailing and courier pickup
- Review, file, and manage incoming documentation by ensuring all materials are scanned, recorded, and uploaded to client accounts, and notifying brokers when client-related paperwork has been received
- Process insurance claim reports by uploading claim notices, creating new claims as necessary, updating existing files, and closing claims as required
- Take client payments and generate invoices in accordance with company procedures, maintaining accurate and up-to-date financial records
- Assist with general administrative duties to support efficient office operations
Requirements:
- Proficiency in English (written and verbal)
- Experience with Microsoft 365 (specifically Word and Excel)
- Comfortable working with office software and Google Workspace (Docs, Sheets, etc.)
- Previous experience in an administrative or office role is considered an asset, but not required
Skills:
- Excellent communication skills, with the ability to interact professionally and confidently with clients in a front-facing role
- Strong team player with the ability to collaborate effectively and support colleagues as needed
- Effective time management, with the ability to prioritize tasks and meet deadlines
- Ability to multitask and remain organized in a fast-paced work environment
- High attention to detail, ensuring accuracy and consistency in all work
