Job Summary: The Human Resources Assistant will assist with all functional areas of human resources in support of the department's objectives and will have an opportunity to participate in special projects. There is also the responsibility of providing administrative support to the Human Resources Manager.
General Duties and Responsibilities:
To support the vision, mission and guiding principles of the city.
Attend and participate in training opportunities and seminars relevant to this position.
Adhere to appropriate City operating procedures, benefit rules, employment, and safety policies/practices.
Performs administrative duties in the City's Human Resource Department, including filing documents, answering phones, maintaining calendars, travel arrangements, scanning documents, organizing files.
Assists internal and external customers,
Must demonstrate the ability to work independently and within a team environment in a fast-paced changing atmosphere.
Essential Functions and Responsibilities:
Maintains confidentiality of work related issues and City Information
Act as the first point of contact for the Human Resources Department
Assist HR Manager, Generalist, and Coordinator in organizing, arranging partners, and donors for HR events
Assist with the Safety and Risk Management Program for the city
Assist the HR Coordinator with Onboarding and preparing new hire packets and personnel folders
Responsible for the maintenance of the HR personnel files and documentation in accordance to the retention schedule
Ensure that personnel files and HR related documents are appropriately filed in the HR File room
Conduct Employment Verifications of new hires
Manage HR related Open Records requests.
Manage the procurement of services pertaining to ordering departmental supplies, managing supplies, reconciling P-Card statements, as well as obtaining quotes to prepare requisitions for the department.
Scan HR related documents for electronic filing and maintain the HR drive
Maintain appointment schedules and calendars for the HR Manager; arrange meetings and travel to conferences
Perform a wide variety of administrative duties as required by daily operations in the HR department
Prepare memos, correspondents, and meeting agendas for HR Manager.
Knowledge, Skills and Abilities:
Strong customer service and communication skills
Ability to work independently with minimal direction
Awareness of federal, state, and local laws and regulations that impact human resources and the employment relationship
Ability to effectively coordinate multiple projects, use time management skills and independent judgment
Education and Experience
Associate's degree with a minimum of 1 year of administrative or customer service experience
Or equivalent skill, knowledge and experience
Proficient with Microsoft Office Suite (Outlook, Word, PowerPoint and Excel) is required
