Administrative Assistant – Countertop & Design Center

Position Overview

Our countertop and design center is seeking a reliable, detail-oriented Administrative Assistant to support both field operations and design projects. This position plays a key role in keeping our office, schedule, and client communication organized. The ideal candidate is proactive, professional, and comfortable working in an environment where accuracy and clear communication are essential.

Key Responsibilities

Administrative Support & Data Entry

Perform accurate data entry for project details, estimates, job logs, and client information.

Prepare documents, proposals, and project files for the design and construction teams.

Assist with daily office operations and general administrative tasks.

Social Media & Online Presence

Maintain and update company social media accounts (Instagram, Facebook) with project photos, progress updates, and announcements.

Assist in organizing content created by the designer and field team.

Monitor messages, comments, and engagement on social platforms.

Project & Designer Assistance

Support the designer with gathering materials, vendor communications, sample organization, and project research.

Assist with client communication—sharing updates, answering basic questions, and coordinating next steps.

Track project timelines, updates, and deliverables to ensure smooth workflow between design and construction teams.

Scheduling & Coordination

Schedule and coordinate measurement and installation appointments, design meetings, and client appointments.

Maintain the studio and jobsite calendar; communicate updates promptly to all involved parties.

File Management & Organization

Organize and maintain digital and physical project files, drawings, quotes and contracts.

Ensure all documents are clearly labeled, up-to-date, and easily accessible.

Implement improved filing and organization systems as needed.

Qualifications

Prior administrative experience in construction, design, architecture, or related fields preferred.

Strong organizational skills with excellent attention to detail.

Clear and professional written and verbal communication.

Proficiency with basic computer tools (Microsoft Office, Google Workspace).

Familiarity with Instagram and Facebook for business/social content.

Ability to multitask and adapt in a fast-paced, project-driven environment.

Job Type: Part-time

Pay: $ $22.00 per hour

Expected hours: 25 – 35 per week

Work Location: In person
