An essential role supporting the operations of a plumbing, heating & heating fuel delivery company. The administrative position is year-round, full-time Mon-Fri 7:00 am to 3:30 pm.

There are 5 -/+ administrators in the open office environment (it's a big room with desks). We keep the lights dim and the music on (rock to country). The temperature is not very balanced. Some of us are too cold and some are too hot. We work hard and have an immense amount of pride in the company. We all expect the best quality of work from each other but will show support when mistakes happen. We help everyone even when it's outside our scope. We find them the answers, referrals and point them in the right direction.
Your day will be filled with the following:
- Handle incoming calls (Very heavy phone work all day long). 1st on phones. Gathering all the information needed from the customer so you can best help them. Knowing the right questions to ask is important.
- Scheduling & dispatching service or maintenance work orders taking into consideration the type of work, urgency, location/distance and technician ability. Gather the right information so the tech is given an understanding of the job, the materials or parts needed and the amount if time to complete the service.
- Source needed fixtures/materials/parts per the scope of work and coordinating / confirm delivery.
- Resolve questions and/or concerns. Handle complex situations. Follow-up as needed.
- Ensure re-scheduling as needed. Review outstanding orders to ensure closure when completed.
- Accepting customer payments using multiple avenues.
- Other tasks as there are so many things we do.
We are a fast-paced office that requires a high quality of work and drive; the following skills would be beneficial to be successful in the office and enjoy the work needed to support daily operations.
Skills needed / wanted to be compatible with this role:
- The drive and willingness to learn and retain information.
- Previous service related dispatch, construction, HVAC, plumbing experience.
- Exceptional customer service, great phone personality & ability to work under pressure.
- Aptitude to change task quickly while remaining organized & detail oriented.
- Ability to connect with and gain / show respect of field technicians, vendors & customers.
- Has interest to self-teach to understand the things you don't.
- Has interest in learning other daily tasks to support the office.
- Positive "Can-Do" Attitude. Regular attendance and a courteous and professional attitude.
- Has experience with the standard industry software and is comfortable with learning new software programs (QuickBooks, Smart Service, Ignite, Phone, Payments).
