Summary:

Dow & Associates seeks an Administrative Assistant to provide organizational support as part of the contracted services that we provide to regional government agencies. This position is responsible for providing office support to Dow & Associates, the Mendocino Council of Governments (MCOG), and the Lake County/City Area Planning Council (APC). Essential functions of the position include preparation and participation in meetings of various boards and committees, records management, reception duties, managing accounts payable and receivable, and general office support and clerical duties. Working relationships with others are frequent and extend beyond the office to other agencies, interest groups, and the general public.

This will be a full-time position based in our Ukiah office, but sometimes requires meeting participation in other parts of Mendocino or Lake Counties.

Duties and Responsibilities:

  • Provides administrative support to Executive Director and staff; makes appointments and maintains calendars
  • Schedules meetings with city, county, and government officials and their staff and public/private sector citizen groups
  • Independently responds to routine correspondence by composing short emails, letters or making telephone calls
  • Prepares and distributes monthly Board agenda packet, as well as file maintenance of all Board action items
  • Acts as Clerk to the Board of Directors, responsible for taking roll calls, working with technical equipment and software, managing meeting space and teleconferences on Zoom, executing documents, and related support
  • Assembles and distributes agendas and packets for various committees and working groups
  • Takes and transcribes meeting minutes, as necessary
  • Submits public notices to local newspapers and manages the publication timeline and
