Summary
The Office Assistant is the organizational cornerstone of our daily functions, ensuring operational excellence and seamless service delivery. This role is critical in maintaining workflow efficiency, supporting team members, and upholding the professional standards of our environment. The ideal candidate will be a proactive problem-solver with exceptional attention to detail and a commitment to administrative support. This position is essential for the smooth functioning of our organization. The Office Assistant enables team productivity, upholds operational protocols, and directly contributes to a positive and professional environment through diligent support and coordination.
Essential Functions
- Manages office correspondence (email, mail, phone calls)
- Orders and tracks office supplies and equipment
- Processes invoices, reimbursements, and vendor payments
- Coordinates with accounting or finance departments
- Maintains filing systems (digital and physical)
- Assists with opening and/or closing procedures.
- Coordinates maintenance and repairs with vendors
- Supports staff with administrative needs
- Organizes team meetings, staff events, and training sessions
Preferred Qualifications
The ideal candidate will share the Desert Foothills Library's commitment to its mission and will bring a broad range of skills and experience including but not limited to:
- Some knowledge of library clerical procedures and practices.
- Good knowledge of clerical practices.
- Good knowledge of the English language.
- Some skill in typing and the ability to do data entry using a computer and office software (e.g., Microsoft Office, etc)
- Attention to detail and accuracy
- Ability to collaborate with staff at all levels
- Strong time-management and multitasking abilities
- Excellent organizational and problem-solving skills
- Good ability to establish and maintain effective working relationships with superiors, associates, and the public.
- Previous experience in administrative, office, or operations roles
- Professional and friendly customer service skills
Job Type: Part-time
Pay: $ $20.00 per hour
Expected hours: 20 per week
