Job location is Gowanda, NY with the opportunity to work hybrid. The Accounting Generalist is a full-time position working 37.50 hours per week Monday thru Friday 8am to 4pm. A flexible work schedule may be available.

The Accounting Generalist is an integrated role performing key functions in ROME's accounting department. The Accounting Generalist is responsible for preparing, recording, communicating, managing, and analyzing Accounts Payable, Accounts Receivable, and Managed Care Billing transactions and essential functions.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Prepare and record routine and recurring accounting transaction utilizing the appropriate module in the accounting software (Great Plains).
  • Facilitate online vendor payments, and the delivery of customer invoices and vouchers.
  • Ensure accurate allocation of program expenses and revenues.
  • Ensure expenses and revenues are recorded in the correct fiscal period.
  • Utilize and maintain checklists and other tools to ensure the timely completion of tasks.
  • Assist with setting up insurance information in ROME's electronic health record (EHR) software (Welligent).
  • Assist with verification of managed care participant insurance information and submission of notifications to insurances.
  • Assist with producing and disseminating EHR reports and data extraction.
  • Assist with matching remittance advice (payments received) to claim cycles, and disseminating remittance / claim adjustment information.
  • Assist with posting remittances in the EHR software.
  • Assist with monitoring and identifying the status of receivable and payable accounts.
  • Download and summarize claim information from the managed care clearinghouse (Inovalon).
  • Assist with reconciling various general ledger accounts.
  • Assist with ensuring accounting activity is accurately, completely, and timely reported in the Accounting Software (Great Plains - GP).
  • Assist with the maintenance of subsidiary ledgers including but not limited to pre-paid expense schedules, expense allocation workpapers, and invoicing and budget to vouchered workpapers.
  • Assist with internal and external financial reporting including but not limited to expense reporting and management budget-to-actual reports.
  • Assist with drafting and submitting regulatory reports such as 1099 reporting, NYS DOL multiple worksite reports, and census reports.
  • Assist with monitoring and compliance with all business office policies and procedures, including standard operating procedures (SOP), workpaper standards, and document management / retention.
  • Provide regular status reports, providing clear, easy to understand, concise communication.
  • Assist with internal/external audits as needed.
  • Maintain a positive, cooperative, and respectful attitude with all people and agencies at all times without exception.

ADDITIONAL RESPONSIBILITIES:

  • Provide key internal control via monitoring and reconciling transactions and identifying errors and omissions.
  • Performs other duties as assigned.

COMPLEXITY OF WORK AND DECISION MAKING:

Works in accordance with policies and regulations which may require judgment, initiative, creativity and the ability to deal with complex factors and making of decisions based on conclusions for which there may be little precedent.

AUTONOMY AND ACCOUNTABILITY:

Works from general objectives (such as governmental and agency compliance standards) and broad and varying policies, procedures, rules or precedents with significant functional guidance. Review by manager focuses on achievement of the objective and not necessarily on the means, except when required to ensure compliance with regulations.

TECHNOLOGY, EQUIPMENT OR TOOLS:

Advanced Excel skills and proficiency in Microsoft Office Teams, Outlook, and Word. Evidence of skills demonstrated by the ability to perform all assigned functions; including but not limited to maintaining a calendar, sending e-mail, creating letters as well as the ability to create and edit electronic workbooks; including but not limited to creation of formulas, tables and graphs. Must also be proficient in utilizing various computer systems. General office equipment is used including fax/copy/scanning machine, computer and phone system.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:

Work follows established practices and operating procedures with some latitude for independent judgment. May occasionally lift to (35) thirty-five pounds, without mechanical assistance. Work involves sitting, standing, driving, climbing stairs and ambulating from task to task. The noise level in the work environment is usually light.

EDUCATION & EXPERIENCE:

  • Associate's degree in business administration or accounting with a minimum of one year experience or
  • A minimum of 2 years' continuous financial reporting / accounting experience

KNOWLEDGE, SKILLS & ABILITIES:

  • Ability and willingness to learn is required.
  • Ability to establish and maintain effective relationships with staff, management, and the general public required.
  • Ability to work efficiently, with a sense of urgency to meet deadlines required.
  • Must possess the ability to work independently as well as collectively in a team manner.
  • Advanced Excel; proficient with MS Teams, Outlook, and data-based software.
  • Effective written and oral communication.
  • Willing and ability to take directions.
  • Ability and willingness to gain knowledge of agency programs and operation.
  • Willingness to continuously learn and develop skills as they pertain to the needs of the agency and the position.
  • Must have good demonstratable organizational skills.
  • Ability to demonstrate knowledge and skills pertaining personal records, Microsoft Office, and the internet.
  • Strict confidentiality and adherence to HIPAA laws.
  • Ability to touch type and 10-key with speed and accuracy.
  • Accounting and/or medical billing experience preferred.
  • Experience with ERP and/or EHR systems preferred.
  • Working knowledge of accounting and/or medical terminology preferred.

Wage Range: $ $21.00 per hour
