We are seeking a
dynamic, customer-experience-oriented, highly detailed Event Operations Coordinator
to join our growing team. The ideal candidate is agile, energetic, low-ego, deeply reliable, and holds a personal standard of excellence in everything they do.
Role Overview
The
Event Operations Coordinator
will play a critical role in ensuring seamless execution of DCUO events and experiences. This is an on-the-ground operator who thrives in dynamic environments, communicates with clarity and warmth, and obsessively manages details. You will work closely with the Cofounder and COO, serving as day-of onsite support, logistical lead, and guest experience ambassador across our event portfolio.
This is a part-time
contract role
with variable hours based on event needs. Strong candidates may be considered for expanded responsibilities or future conversion.
Key Responsibilities
Event Execution & On-Site Support
- Serve as the primary day-of onsite coordinator for assigned events.
- Oversee event setup, breakdown, staffing check-ins, vendor arrivals, and overall event flow.
- Manage guest check-in, guest support, and ambiance/flow throughout the event.
- Troubleshoot onsite issues calmly, professionally, and efficiently.
- Ensure compliance with safety, insurance, and venue standards.
Pre-Event Coordination
- Develop event timelines, run-of-show documents, checklists, and logistical plans.
- Coordinate pickups/drop-offs of rentals, equipment, décor, and event materials (must have reliable transportation), including grocery procurement.
- Create, prepare, and setup event signage and printed materials as needed.
- Manage communication with chefs, mixologists, vendors, and internal partners.
- Support digital guest engagement: confirmations, reminders, post-event follow-up, etc.
Post-Event & Operations
- Oversee event breakdown and ensure all rentals and supplies are returned.
- Conduct pre- and post-event evaluations and document opportunities for improvement.
- Coordinate receipt collection, invoicing needs, and operations documentation.
- Maintain and update internal event trackers and booking systems.
Communication & Guest Experience
- Maintain a high standard of written and verbal communication, adhering to brand standards — elevated, intentional, community-centered, and operationally sharp.
- Serve as a customer experience liaison for guests before, during, and after events.
- Represent DCUO with professionalism and hospitality at all times.
Qualifications
REQUIRED
- Exceptionally high attention to detail—nothing gets past you and you take feedback well.
- Excellent written and verbal communication skills.
- Ability to independently and proactively manage timelines, roadmaps, and end-to-end event logistics.
- Strong customer service orientation and ability to engage diverse audiences.
- Ability to work evenings/weekends depending on event schedules.
- Reliable transportation for pickups/drop-offs and venue support.
- Ability to multitask, stay organized, and manage shifting priorities.
- Calm, flexible, and solutions-oriented when challenges arise.
- Prior experience in event coordination, hospitality, or operations.
PREFERRED
- Experience with Canva or similar design tools.
- Familiarity with booking platforms, CRMs, or event management systems.
- Background in hospitality, culinary events, luxury service, or operations.
