This role will include providing administrative support in the planning, organization, and implementation of event initiatives such as community events, festivals, a creative arts festival, entertainment in public spaces, workshops, and more. This position will be responsible to attend event dates in person and assist with logistics, set-up, implementation and take-down of event activities and activations in compliance with policies and industry guidelines. This position will collaborate closely with the Caledon Public Library, Downtown Bolton Business Improvement Area ("BIA"), Caledon Chamber of Commerce, village associations around Caledon and other members of Community Engagement staff.

The Opportunity
Reporting directly to Events Coordinator, Community Engagement, the Student, Events works with internal staff across multiple divisions, as well as external events and community stakeholders to collaboratively organize and implement elements of Town of Caledon Events. As the Student, Events, you will perform the following duties, including but not limited to:
- Community engagement and ambassadorship at events: serving as a representative of the Town at Town led and community events, problem solving on-site, directing participants, assisting with event setup and take down, fielding visitor and participant questions, promoting existing town programs and future events. Example events: Caledon Day, Movies in the Park, Music in the Park, the Caledon Creative Arts Festival, Bike the Creek.
- Assist in the coordination and execution of vendors at Caledon Day for both the Vendor Market Zone and the Community Zone, including communicating with vendors for payment and paperwork requirements, collecting Certificates of Insurance, and assisting with vendor location assignments on the master site plan. Assist with the development of new processes to improve logistics before and onsite at the event.
- Assist in the coordination and execution of the Caledon Creative Arts Festival. This will include communication with vendors, artists and entertainers, and internal town staff in our Community Services, Operations, and Community Facilities departments.
- Assist in the coordination and planning for the annual Culture Days event series.
- Support the Events Coordinator, Community Engagement in office administration tasks, researching and sourcing event supplies, designing content for signage, digital and print promotional materials, and updating internal databases.
- Assist with the development of internal documents and tools.
- Assist with designing and executing Community Engagement marketing, promotions, and activations at events and in strategic high-traffic locations.
- Perform additional duties and undertake special projects as assigned.

- Maintain responsibility for assigned duties within the departmental and/or corporate Business Continuity Plan
- Participate in all mandatory training requirements.
- Be responsible to work in compliance with the Occupational Health and Safety Act and Regulations, the Town of Caledon Policies and Procedures, as well as established industry guidelines.
The Ideal Candidate
We are seeking two passionate students working towards a diploma and are returning to school in Fall of 2026 or have graduated in the past 6 months.
The ideal candidates will have demonstrated minimum 1-2 years related experience in event management. We are seeking individuals with superior customer service skills, a demonstrated ability to provide customer service excellence that reflects Caledon's quality standards: accurate, courteous, responsive, and easy to navigate.
The Student, Events must be available to work onsite at Caledon Day on Saturday, June 20, 2026, and the week leading up to Caledon Day from June 15 to June 19. The Student, Events must be available to work onsite at Music in The Park every Thursday evening in July and August. Additional event dates for onsite support on evenings or weekends will be communicated to the Student, Events.
This position offers an hourly rate of $20.62.
