• Scheduling and organizing meetings, conferences, and events.
• Managing executive calendars, prioritizing appointments, and preparing meeting materials.

• Processing expense reports, invoices, and other financial paperwork.
• Drafting, proofreading, and distributing emails, memos, and reports.
• Conducting research and preparing reports as needed.
• Answering and screening calls, responding to inquiries, and liaising with internal teams, clients, and vendors.
• Organizing and maintaining physical and digital files, records, and databases.
• Updating and managing organizational charts.
• Planning, coordinating, and supporting special projects, team celebrations, activities, gatherings, and other operational initiatives as required.
• Assisting with office supplies, equipment needs, and facility-related services, as well as tasks such as data entry, scanning, and document management.
• Providing general administrative support as required.
• Supporting the growth of a positive company culture and professionally representing Northland Properties.
• Performing other related duties as required.
What are we looking for?
2+ years of experience in an administrative or executive support role.
Post-secondary education in Business Administration, Office Administration, or a related field is preferred but not required.
Proficient in MS Office, especially Microsoft Outlook, SharePoint, Teams, Excel, and Word.
Ability to maintain confidentiality and handle sensitive information with discretion.
Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks and deadlines.
Excellent written and verbal communication skills, with high attention to detail and accuracy.
Strong interpersonal skills, with the ability to work collaboratively and build positive relationships with internal and external stakeholders.
Demonstrated ability to take initiative, solve problems, and support operational needs with a proactive, service-oriented mindset.
Adaptable and comfortable working in a fast-paced, dynamic environment.
Demonstrates a positive attitude, with good initiative and a strong work ethic.

Job Location: Head Office – Vancouver, BC
Contract length: 13 to 14 months (Maternity Leave Coverage)
