Ethereal Aesthetics is a luxury medical spa specializing in non-surgical facial optimization, regenerative skin therapies, and personalized wellness. We're seeking a warm, organized, and client-focused Client Care Coordinator to be the face of our front desk.

Responsibilities

  • Greet patients and visitors warmly, providing exceptional customer service.
  • Manage front desk operations, including answering phone and scheduling appointments.
  • Maintain patient records accurately and in compliance with HIPAA regulations.
  • Utilize Aesthetic Record EMR software for patient management and appointment scheduling.
  • Assist with billing inquiries.
  • Communicate effectively with medspa staff regarding patient needs and appointments.
  • Handle incoming correspondence and manage office supplies efficiently.
  • Ensure the front desk area is organized and presentable at all times.
  • Manage appointment scheduling, confirmations, and flow of the day
  • Educate clients on services, skincare products, and memberships
  • Handle payments, retail sales, and inventory support
  • Respond to client inquiries via phone, email, and social media
  • Support medspa events, follow-ups, and light administrative tasks

Requirements

  • Previous experience in a medical office or dental clinic preferred.
  • Familiarity with medical terminology, experience with Aesthetic Record is a plus.
  • Proficient phone etiquette and computerized scheduling software.
  • Strong organizational skills with attention to detail.
  • Excellent communication skills, both verbal and written, and emotional intelligence.
  • Ability to multitask in a fast-paced environment while maintaining professionalism.
  • Knowledge of HIPAA regulations to ensure patient confidentiality.

Qualifications:

  • 1+ year of customer service or front desk experience (medspa or hospitality a plus).
  • Tech-savvy and comfortable learning new systems (we use Aesthetic Record).
  • Strong communication, multitasking, and organizational skills.
  • Professional, polished appearance and positive attitude.
  • Team player who thrives in a fast-paced, client-centered environment.
