We are seeking a highly organized and proactive Executive Personal Assistant to provide comprehensive support to senior executives. Duties
- Manage and coordinate executive calendars using tools like Microsoft Outlook Calendar and Google Workspace, scheduling meetings, appointments, and travel arrangements with precision.
- Prepare, proofread, and transcribe documents, reports, and correspondence to ensure accuracy and professionalism.
- Handle incoming calls with excellent phone etiquette, screening and directing inquiries appropriately while maintaining a courteous demeanor.
- Organize and maintain filing systems—both physical and digital—using efficient data entry practices and document management software such as DocuSign.
- Assist with event planning for corporate meetings, conferences, and special occasions by coordinating logistics, vendors, and materials.
- Support bookkeeping tasks using QuickBooks or similar accounting software, including invoicing, expense tracking, and basic bookkeeping duties.
- Provide executive administrative support by managing email correspondence, preparing presentations, and conducting research as needed.
- Oversee office management responsibilities such as supply ordering, front desk duties, filing systems, and maintaining a professional office environment.
- Facilitate project coordination efforts by tracking deadlines, preparing status reports, and ensuring timely completion of tasks.
- Maintain professionalism in all interactions through excellent customer service skills and adherence to office protocols.
Experience
- Proven experience as an executive personal assistant or in a similar administrative role supporting high-level executives.
- Demonstrated proficiency with Microsoft Office Suite (Word, Excel PowerPoint), Google Workspace applications (Gmail, Calendar), and multi-line phone systems.
- Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
- Experience with event planning, project coordination, bookkeeping (QuickBooks preferred), and office management is highly desirable.
- Excellent typing speed combined with transcription skills to produce accurate documents swiftly.
- Knowledge of clerical procedures such as filing systems, data entry techniques, proofreading standards, and document transcription.
- Exceptional communication skills—both written and verbal—and professional phone etiquette.
- Ability to handle confidential information discreetly while maintaining a high level of professionalism.
