ASAE is seeking a highly organized and detail-oriented Exhibit & Sponsorship Operations Coordinator to support execution of exhibitor and sponsor fulfillment across our major meetings and year-round programs. This role is ideal for someone who thrives in fast-paced event environments and is passionate about delivering exceptional partner experiences.
Key Responsibilities
Exhibit & Sponsorship Fulfillment
- Serve as primary contact for exhibitors, sponsors, vendors, and venue partners.
- Manage exhibit/sponsor applications, communications, invoices, and fulfillment tasks.
- Track inventory and maintain accurate data across ASAE's CRM and event systems.
- Coordinate deadlines, collect assets, prepare reports, and support marketing reviews.
- Provide onsite support including installation/deinstallation coordination, delivery checks, and onsite sales/rebook assistance.
- Support post-event reporting and financial reconciliation with accounting.
Program/Event Sponsorship Support
- Assist in managing sponsorship applications, contracting, invoicing, and fulfillment for ASAE programs.
- Liaise with program managers to ensure timely deliverables.
- Update sponsorship guidelines, inventories, and templates.
- Submit sponsor recognition assets for apps, websites, print, and social media.
- Research and recommend new sponsorship opportunities.
Data Management
- Maintain accurate records in eShow and ASAE's CRM.
- Support process improvements and system integrations.
Qualifications
- Bachelor's degree or 3+ years in exhibit/sponsorship operations (CEM preferred or interest in pursuing).
- Strong organizational, communication, customer service, and project management skills.
- Tech savvy with advanced Microsoft Office skills; experience with CRMs and event systems helpful.
- Ability to manage multiple priorities, meet tight deadlines, and collaborate effectively.
- Experience in associations/nonprofits and hospitality is a plus.
