Job Overview
We are seeking a detail-oriented and organized Office Assistant to support our administrative team. The ideal candidate will possess strong computer skills, excellent communication abilities, and experience in office management. This role is vital in maintaining smooth daily operations, providing exceptional customer service, and ensuring efficient office workflows. The Office Assistant will handle a variety of clerical and administrative tasks to support the overall productivity of the organization.
Duties
- Manage front desk responsibilities including greeting visitors and answering multi-line phone systems with professional phone etiquette
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize Microsoft Office, Google Workspace, and other office software for daily tasks such as calendar management, document creation, and correspondence
- Support bookkeeping and QuickBooks for financial record keeping and invoicing
- Assist with office management tasks including supply ordering, mail distribution, and maintaining office cleanliness
- Provide customer support via phone and email, addressing inquiries efficiently and courteously
- Coordinate appointments, schedule meetings, and manage calendars for staff or executives
- Support personal assistant duties as needed, including travel arrangements or special projects
Experience
- Previous office experience or clerical experience preferred; familiarity with office management is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Experience with QuickBooks or bookkeeping is desirable
- Bilingual skills are advantageous for supporting diverse clients or staff
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent typing speed and data entry skills to ensure timely processing of documents
- Knowledge of medical or dental receptionist duties is a plus but not required
- Demonstrated customer service skills with professional phone etiquette and support experience
