Job Overview
We are seeking a highly organized and professional Receptionist/Administrative Assistant to join our team. This role is essential in providing exceptional customer service and ensuring the smooth operation of our office. The ideal candidate will possess strong communication skills, proficiency in various software applications, and the ability to manage multiple tasks efficiently.

Duties

  • Greet visitors and clients warmly, providing excellent customer service at the front desk.
  • Manage multi-line phone systems, directing calls appropriately and taking messages as needed.
  • Perform data entry tasks, maintaining accurate records and filing systems.
  • Assist with calendar management, scheduling appointments, and coordinating meetings.
  • Provide administrative support including typing documents, proofreading materials, and managing correspondence.
  • Utilize Microsoft Office and Google Workspace for various office tasks including document creation and spreadsheet management.
  • Handle bookkeeping tasks as needed, including basic accounting functions using AppFolio.
  • Maintain office organization through effective filing systems and clerical support.
  • Support team members with customer support inquiries, ensuring timely responses to client needs.
  • Assist in office management duties to ensure a productive work environment.

Requirements

  • Previous experience in an administrative role or as a receptionist is preferred.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
  • Strong computer skills with a focus on data entry accuracy and filing organization.
  • Excellent phone etiquette and customer service skills are essential.
  • Bilingual candidates are encouraged to apply for enhanced communication capabilities.
  • Strong organizational skills with the ability to manage time effectively and prioritize tasks.
  • Familiarity with AppFolio bookkeeping software is a plus.
  • Experience in real estate receptionist roles is advantageous but not required.
  • Ability to demonstrate clerical experience including typing proficiency and attention to detail.
