A 4.0 Dispatcher/ Assistant Manager will support the daily operations of the school bus company, ensuring safe, efficient, and reliable transportation services. This role involves assisting with the management of staff, overseeing operational procedures, and handling customer service issues. Additionally, the Assistant Manager will assist with payroll, billing, and administrative tasks, including maintaining employee files and dispatching bus routes.
Reports to: Location Manager, General Manager
Key Responsibilities:
- Operational Support: Assist in managing day-to-day operations, including scheduling bus routes, coordinating driver shifts, and ensuring adherence to safety and regulatory standards.
- Dispatching Routes: Coordinate and dispatch bus routes, ensuring timely departures and arrivals. Monitor and adjust routes as needed to address delays, traffic conditions, or special requests. Occasionally drive bus routes or activities when staffing needs require.
- Staff Supervision: Support the recruitment, training, and performance evaluation of bus drivers and other transportation staff. Provide guidance and resolve any personnel issues.
- Customer Service: Address and resolve customer inquiries, complaints, and service issues in a professional and timely manner.
- Vehicle Management: Monitor the maintenance and cleanliness of the bus fleet. Schedule and coordinate routine inspections, repairs, and servicing.
- Compliance and Safety: Ensure all operations comply with local, state, and federal regulations. Implement and enforce safety protocols and procedures.
- Administrative Duties: Assist with administrative tasks such as preparing reports, maintaining records, and managing communication between departments.
- Payroll and Billing: Assist with the payroll process, including verifying employee hours, processing timesheets, and handling payroll discrepancies. Support the billing process by generating invoices, tracking payments, and managing accounts receivable.
- Employee File Maintenance: Maintain accurate and up-to-date employee files, including personal information, employment history, and performance records. Ensure that all documentation complies with legal and company requirements.
- Emergency Response: Act as a point of contact for emergency situations, providing immediate support and coordination as needed.
- Promote a friendly, positive, and professional work environment.
Qualifications:
- Certifications: Valid MN driver's license with a clean driving record. Commercial Driver's License (CDL) with a Passenger endorsement & School Bus endorsement. Current DOT Medical Card Clean drug test and background check required
- Skills:
- Ability to react well under pressure, handle and balance multiple demands at one time, work with frequent interruptions, and perform duties and tasks at expected levels of professionalism
- Strong organizational and leadership abilities.
- Excellent communication and interpersonal skills.
- Proficient in Google Applications and basic knowledge of technology & software.
- Familiarity with dispatching procedures and route management.
- Familiarity with employee file management and record-keeping.
- Ability to handle multiple tasks and work in a fast-paced environment.
- Ability to work independently with minimum supervision
- Must be able to fill in for any of the 4.0 part time positions tasks when needed, including, but not limited to: bus driver, van driver, NEMT driver, activity driver, aide, bus washer, and office cleaner.
Work Environment:
- The role typically involves a mix of office work and fieldwork
- May require occasional evening or weekend work to address emergencies or attend meetings
- Must be able to conduct inspections and oversee activities in various weather conditions
Job Type: Full-time
Pay: $35, $55,000.00 per year
