We are looking for a friendly, detail-oriented Retail Operations Assistant to join our team and help keep our day-to-day operations running smoothly. This role will be a part-time position (20–30 hours/week), primarily based in-store, and operates under the direction of our Chief Operating Officer (COO).

This role is best suited for someone who is comfortable executing direction, handling routine but essential tasks, and building trust over time. Saturday availability is required, as is flexibility to provide occasional emergency shift coverage outside of regularly scheduled hours.

Key Responsibilities:

Working under the direction of the COO and store management, you will be responsible for the following:

  • Provide general administrative support to ensure daily operations run efficiently.
  • Coordinate vendor and service provider communications, ensuring prompt follow-up on requests.
  • Conduct errands such as supply pick-ups and change runs.
  • Process weekly tip allocations.
  • Maintain appropriate supply inventory levels and place supply orders as needed.
  • Assist with invoice processing, ensuring accuracy and confidentiality.
  • Liaise with our customs broker to provide shipment documentation and ensure timely clearance.
  • Triage accounting-related requests, forwarding them to the correct team members and tracking completion.
  • Schedule and track facility maintenance requests, liaising with service providers until resolved.
  • Conduct regular audits of assigned store sections to ensure organization, cleanliness, proper labeling, and accurate pricing.
  • Inventory support, including counts and audits.
  • Receive deliveries into the POS system, verifying accuracy and identifying discrepancies.
  • Physically move and organize boxes during busy delivery periods and assist in processing large deliveries.
  • Maintain organized and functional storage areas.
  • Maintain and regularly update internal reference documents, manuals, and spreadsheets to ensure accurate and accessible company information.
  • Assist in scheduling coordination, including arranging shift coverage; occasional emergency shifts may be required.
  • Ensure accurate data entry and updates within internal databases and POS systems.
  • Ensure compliance with health and safety standards, maintaining and tracking compliance checklists.

Role Requirements:

  • Valid driver's license and access to a reliable vehicle
  • Ability to lift, carry, and move boxes and supplies as part of daily inventory and store operations is required
  • Strong computer proficiency, including experience with Google Workspace
  • Ability to troubleshoot hardware issues (internet outages/printers/POS setups) and effectively communicate to tech support
  • Mid-level Excel skills, capable of creating pivot tables
  • Highly comfortable navigating a mix of scheduled and ad-hoc tasks
  • Previous experience in retail is required
  • Previous experience in administrative support roles is preferred
  • Experience with Asana or similar task management system is an asset
  • Excellent organizational skills and attention to detail
  • Ability to multitask and thrive in a dynamic retail environment
  • Strong communication skills and a professional demeanor
  • Availability for Saturday shifts and occasional emergency coverage is required
