Job Description

POSITION SUMMARY

Assist with daily administrative duties for events and promotions.

4 months contract (May - August)

DUTIES AND RESPONSIBILITIES (not listed in order of priority)
  1. Attend community and corporate events as required and assist in public relations.

  2. Assist with event planning, administration and execution (ie.,Community events, Warden's Gala, Warden's Golf Tournament, Service Banquet).

  3. Track data and analytics of summer events and festivals and develop reports

  4. Support with event equipment inventory and equipment loans process.

  5. Support with promotion of events and content calendar development.

  6. Perform other general administrative tasks such as scanning, filing, photocopying, and preparing correspondence.

  7. Monitoring of electronic mailboxes and phones.

  8. Provide assistance to additional Service Simcoe branches and Office of the Warden and CAO as required.

  9. Process and distribute daily incoming Department mail (invoices and a variety of other correspondence).

  10. Reconcile and process conference attendance claims for Warden and County Councillors for submission to Finance.

  11. Comply with Provincial and County occupational health and safety legislation, regulations, policies and procedures.

  12. Maintain confidentiality in accordance with the Municipal Freedom of Information and Protection of Privacy Act.

  13. Perform other duties as assigned.

EDUCATION, TECHNICAL SKILLS AND CERTIFICATION
  • Must be a registered full-time post-secondary student during the preceding academic year and be returning to school in a technical program on a full-time basis in the next academic year.

  • Enrollment in a Communications, Event Management, Public Relations Program or equivalent.

  • Excellent writing, communication and organizational skills are a must.

  • A valid full G class driver's license and access to a vehicle.

  • Must have completed a criminal reference check from within the last 6 months.

EXPERIENCE
  • Experience working in a Windows environment is required.

  • Software experience with Windows XP, MS Office, including Excel, Word and SharePoint and Internet applications.

  • Experience working with Wordpress is considered an asset.

EFFORT
  • Visual and mental effort required when working on documents.

  • Will also require some lifting of materials and set-up and take down at special events.

WORKING CONDITIONS
  • Flexibility to support and actively participate in events beyond standard working hours

  • Must be able to lift 20 lbs.

  • Many events may take place outdoors.

  • Travel within the County of Simcoe may be required.
