Job Overview
We are seeking a dedicated and professional Receptionist/Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our Notary office by providing excellent administrative support and maintaining a welcoming environment for clients. The ideal candidate will possess strong organizational skills, a keen attention to detail, and the ability to manage multiple tasks efficiently.
Responsibilities
- Greet clients in a friendly and professional manner.
- Answer phone calls, schedule appointments, and manage inquiries.
- Perform data entry tasks accurately and efficiently.
- Assist with scheduling appointments and managing calendars.
- Opening and closing property files.
- Prepare documents, reports, and correspondence.
- Handle clerical duties such as filing, photocopying, and scanning documents.
- Ensure the reception area is organized and presentable at all times.
- MUST HAVE A DRIVERS LICENCE AND VEHICLE
Skills
- Administrative experience in Notary/legal or real estate office experience is essential.
- Proficient computer skills with a strong command of Microsoft Office Suite (Word, Excel, Outlook).
- Excellent phone etiquette with strong verbal communication skills.
- Exceptional organisational skills with the ability to prioritize tasks effectively.
- Typing proficiency with attention to detail for accurate data entry.
- Familiarity with a conveyancing program is advantageous but not mandatory.
