Overview:

The Landscape Designer & Project Coordinator plays a critical role in guiding projects seamlessly from initial concept through completed construction. This position combines creative design expertise with strong project coordination skills to ensure that design intent is carried through every phase of the design/build process. You will lead the development of conceptual and construction-level landscape designs, conduct site assessments, prepare technical drawings, and produce accurate material take-offs. As projects move from design into construction, you will coordinate with clients, suppliers, project managers, and field crews to confirm details, resolve questions, and support smooth implementation on-site.

This role is ideal for individuals who thrive in both creative and technical environments—translating ideas into buildable plans and overseeing the logistical steps required to bring those plans to life. With responsibilities that span design development, estimating support, procurement coordination, and field communication, the Landscape Designer & Project Coordinator ensures projects remain on track, on budget, and aligned with the established design vision.

Key Responsibilities:

Technical & Design

  • Conduct on-site measurements, inventories, and assessments, including gathering existing elevations and grades, in coordination with the Landscape Design Team or independently, as required.
  • Prepare conceptual, detailed, and construction-level technical drawings, including: landscape plans, material and layout plans, grading plans, planting and irrigation plans, construction details, and material specifications.
  • Produce accurate quantity take-offs for hardscape and softscape elements, irrigation components, soils, aggregates, site furnishings, and specialty items.
  • Develop shop drawings for custom features such as metalwork, custom fencing, retaining walls, water features, shade structures, and complex hardscape components.
  • Create Traffic Control Plans (TCPs) for projects requiring temporary lane closures, detours, pedestrian routing, and equipment access.
  • Assist in preparing drawings and documentation required for permit submission and procurement.
  • Generate as-built drawings for design and construction teams, update design packages, and incorporate revisions based on field conditions or client feedback.
  • Support the development and refinement of internal CAD libraries, drawing templates, and design software tools to enhance workflow and efficiency.
  • Adhere to project schedules and deadlines as directed by the Landscape Design Manager and Construction Manager.

Estimating & Bidding

  • Perform detailed cost estimates including: labor, materials, equipment rentals, subcontractor pricing, and allowances—following review and direction from the Construction Manager or Project Manager.
  • Assist in preparing and submitting bids, proposals, and RFP/RFQ responses, ensuring the scope of work accurately reflects design intent and meets client expectations.
  • Analyze vendor and subcontractor quotations, product availability, and lead times to support optimized pricing and project scheduling.
  • Support the Construction Team with value-engineering efforts by identifying alternative materials and construction methods that reduce costs while maintaining design integrity and overall project quality.

Project Coordination & Field Support

  • Collaborate closely with Project Managers, the Construction Manager, Landscape Design Manager, and Subcontractors to ensure design intent is clearly communicated and accurately executed on-site.
  • Conduct site visits to verify layouts, review progress, and ensure quality, while providing on-site guidance to field teams on grading, planting layouts, material mock-ups, and placement of hardscape and custom features.
  • Coordinate with suppliers, nurseries, and fabrication shops to confirm dimensions, material specifications, plant availability, and production requirements.
  • Respond to RFIs, provide timely design clarifications, and issue updated drawings, details, or specifications as needed.
  • Maintain consistent communication with clients throughout the project lifecycle—from concept development and design presentations to site reviews and final walkthroughs.

Software & Tools

  • Proficient in AutoCAD, SketchUp, Lumion and Adobe Creative Suite for producing detailed technical drawings, 3D visualizations, presentation packages, and design documentation.
  • Skilled in Microsoft Office applications including: Word, Excel and PowerPoint, with experience in preparing polished proposals, reports and coordinated project documentation.
  • Experienced with estimating software (LMN) and spread-sheet based cost analysis to support accurate budget development, quantity tracking and thorough review and understanding of bids and tender documentation.
  • Adept in using digital plan take-off tools (including AutoCAD based workflows) to efficiently generate precise and organized quantity takeoffs.
  • Strong digital organization skills, including managing project files, drawing sets, and cross-platform documentation for both design and construction teams.

Qualifications:

  • Degree or diploma in Landscape Architecture, Architectural Technology, or related field.
  • 3–5+ years of professional experience in landscape design office or design/build environment.
  • Strong understanding of landscape construction methods, materials, detailing, and industry best practices.
  • Demonstrated ability to produce high-quality technical drawings and clear construction documentation.
  • Excellent communication and interpersonal skills, with the ability to collaborate effectively with multidisciplinary teams, clients and sub-contractors.
  • Highly organized, with strong time-management skills and the ability to handle multiple projects, prioritize tasks, and meet deadlines in a fast-paced environment.
  • Valid G driver's license & clean Drivers Abstract, with the ability to operate larger vehicles across the GTA for site visits and field inspections.

Additional Notes:

· This is a full-time office position.

· Wage: $30/hr.

· Phone Allowance: $30 bi-weekly.

· Health Benefits Plan: Active after probation period (3 months).
