Job Overview
We are seeking a dedicated and professional Front Desk Coordinator to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service and administrative support. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment. A passion for skincare and esthetic services is also a plus
Primary Responsibilities
Guest Services & Front Desk Operations
- Welcome guests and provide a warm, professional first impression
- Manage the spa reception area, maintaining a clean, organized, and tranquil environment
- Process guest check-ins and checkouts, handling payments and retail transactions
- Answer phones and respond to emails, managing appointment bookings and inquiries
- Address all phone, text, email, and in-person guest interactions with professional courtesy and confidence
- Provide detailed information about spa services, treatments, and products
- Address guest concerns and feedback professionally and promptly
- Maintain guest records and profiles in the spa management system
Service Set Up, Laundry, and Closing Duties
- Prepare spa treatment rooms/stations prior to open
- Restock merchandise on retail shelving
- Handle daily laundry duties, ensuring service items (bedding, towels, etc.) are washed, dried, folded, and returned to storage regularly throughout the day
- Ensure cleanliness of the space is maintained, inclusive of the entryway and employee breakroom
- Manage closing procedures for the evening, leaving the spa tidy, secure, and prepared for the next day of service
Requirements
- Proven experience in a customer service role; experience in a spa or hospitality setting is a plus
- Strong computer literacy with proficiency in office software applications
- Excellent time management skills with the ability to prioritize tasks effectively
- Exceptional clerical skills with attention to detail in all aspects of work
- Strong communication skills, both verbal and written, to interact with clients and team members professionally
- A problem-solving mentality with a keen eye for identifying areas in need of improvement
- Ability to work independently as well as part of a team in a dynamic environment
- A friendly demeanor with an eagerness to assist others while maintaining professionalism at all times
Schedule Requirements
- Part-time position, typically 15-25 hrs per week
- Availability for weekend and evening shifts as needed
- Flexibility to adjust schedule during peak seasons
