The Purchasing Agent is responsible for sourcing and procuring goods, services, and minor/capital equipment for Fort HealthCare. The role works with end users to establish product specifications, performance, and compliance issues to ensure highest product quality purchase at best price. The role is responsible for interfacing with hospital leadership on supply chain issues and initiates new vendor on-boarding for GHX electronic procurement transactions and identifies/facilitates expense reduction opportunities. The role coordinates the development, maintenance, and analysis of key supply chain indicators and analyzes purchase history and cost trends to assist with the reduction of overall supply chain expense. The role maintains the computerized materials management item and stocks dictionaries and researches products, compares prices, and assists in all areas of hospital supply chain activities.
Responsibilities of this position include:
- Orders medical and non-medical supplies and equipment, utilizing the established GPO and FHC purchasing contracts. Reviews inventory, backorder levels and monitors purchase requests for validity and accuracy. Initiates corrective actions, as necessary.
- Controls issuance of all purchase orders utilizing EDI function of the Materials Management System and ensures all orders are placed in the system using specified paths.
- Resolves any invoice price discrepancies by contacting suppliers & accounting and coordinating outcome.
- Educates and communicates to internal personnel and recommends MMIS order process to ensure the best pricing, quality and quantity at the right time and place.
- Is responsible for expediting back orders when necessary, verifying acceptability of substitutes with user departments and resolving back-order situations via alternative suppliers, product substitution and equivalents.
- Expedites materials from suppliers to ensure on-time delivery.
- Analyzes and recommends par levels for all inventories and supplies in the hospital management system and updates them as needed, keeping inventory information accurate and valid.
- Keeps informed of all contracts, utilizing them whenever medically acceptable to user department.
- Collaborates with all departments to service their needs promptly and clarify purchasing policies and procedures required to service their requests.
Requirements of this position include:
- Bachelors degree preferred
- Minimum of 5 years supply chain experience required
- Must be competent utilizing Microsoft Office programs including MSWord, Excel, PowerPoint, Outlook. Has the ability to learn industry-specific program. Identifies and resolves problems in a timely manner. Balances team and individual responsibilities. Contributes to building a positive team spirit and highly functional team. Deals with frequent change, delays, and unexpected events. Speaks clearly and persuasively in positive or negative situations. Responds well to questions. Participates in meetings.
