Job Overview
We are seeking a reliable and organized Office Administrator to help keep our day-to-day operations running smoothly. This role is the central point of contact for our customers and field teams, handling scheduling, communication, billing, and administrative support. Experience is a plus, but we are happy to train the right person who is motivated, detail-oriented, and eager to learn.
BlueLine is a growing home services company that provides professional window cleaning, gutter cleaning, pressure washing, landscaping, snow plowing, and related exterior services to residential and commercial customers. We pride ourselves on excellent customer service, strong communication, and high-quality work.
Responsibilities
Customer Service & Communication
- Answer incoming customer phone calls, emails, and online inquiries in a professional and timely manner
- Respond to messages from lead generation platforms and follow up with prospective customers
- Provide excellent customer service by answering questions, resolving issues, and guiding customers through services
Scheduling & Operations Coordination
- Schedule jobs and build efficient daily routes for field crews
- Coordinate changes, reschedules, and job updates as needed
- Order job supplies and arrange equipment rentals to support daily operations
Estimates, Invoicing & Payments
- Prepare and send estimates to prospective customers
- Invoice completed jobs and collect customer payments
- Track outstanding invoices and follow up on past-due balances
Other Tasks
- Track operational efficiency and help maintain organized records
- Document and process employee reimbursements
- Assist with onboarding new employees in systems such as Customer Factor and ADP
- Order uniforms and clothing for employees
- Order, organize, and distribute marketing materials as needed
Qualifications
- Strong communication skills, both written and verbal
- Comfortable speaking with customers over the phone, email, and online messaging platforms
- Highly organized with strong attention to detail and the ability to manage multiple tasks at once
- Comfortable using computers, email, and basic office software (experience with CRM, scheduling, or payroll systems is a plus, but not required)
- Ability to work independently, take initiative, and follow established processes
- Dependable, punctual, and professional in a fast-paced environment
- Willingness to learn new systems and procedures
Requirements
- Valid driver's license and reliable transportation
- Must be legally authorized to work in the United States
- Basic computer skills, including email and online systems
- Strong communication skills, both written and verbal
